UtahPresents, a multi-disciplinary presenter at the University of Utah, brings diverse artistic and cultural experiences to campus and the region through performances and related programs. UtahPresents’ robust network of partners on and off the campus allows for multidimensional programming that stokes curiosity, creates connections beyond the stage, and enhances cultural vibrancy. The UtahPresents season coincides with the academic year and includes significant educational offerings. Additionally, as stewards of the iconic Kingsbury Hall, UtahPresents provides a valuable and year-round gathering space for community events and campus partners.
JOB SUMMARY:
The Financial & Administrative Manager works closely with the Executive Director and staff leadership to ensure UtahPresents’ successful operations, fiscal health, and continued growth. A crucial member of UtahPresents’ team, the Financial & Administrative Manager balances a portfolio of accounting, financial, and other administrative duties. They are responsible for both supporting day-to-day business functions and advising on long-term strategic direction as a close thought partner to the Executive Director. It is estimated that 60% of the Financial & Administrative Manager’s time will be spent on accounting and 40% on other financial and administrative duties.
The Financial & Administrative Manager is primarily responsible for managing the UtahPresents annual budget, which is currently around $2,000,000 and comprised of both restricted and unrestricted program and operational revenues and expenses. The Financial & Administrative Manager assists the Executive Director in the development of the UtahPresents annual budget, under the purview of the Associate Vice-President for the Arts at the University of Utah. This position serves as a liaison between UtahPresents and the University regarding financial matters, and they work closely with the UtahPresents Advisory Board’s Finance Committee. Additional responsibilities include significant bookkeeping and accounts management, preparing financial reports, and managing select HR systems and operations.
Directly supporting on-site operations, the Financial & Administrative Manager will primarily work from UtahPresents’ offices at Kingsbury Hall. Flexibility exists to work remotely at times, as agreed to by the Executive Director.

Responsibilities
ESSENTIAL JOB FUNCTIONS:
1. Prepare and manage UtahPresents budgets in close collaboration with the Executive Director and staff leadership
Lead the creation of annual, departmental, and event budgets based on previous revenues and expenditures to meet organizational goals
Manage UtahPresents budgets including the preparation of monthly budget summaries to keep the Executive Director and relevant staff apprised of expenditure and revenue status
Assess profitability of potential performances, programs, projects, partnerships, etc.
2. Manage communication between UtahPresents and the University of Utah’s Financial and Business Services area, the College of Fine Arts, and external entities
Serve as point person for the College of Fine Arts’ Assistant Dean for Finance & Operations, meeting with them quarterly
Represent UtahPresents at University meetings for financial and administrative officers
Review changes in University policy, federal regulations, and contractual requirements, and coordinate implementation procedures
Oversee the annual audit including the collection of required materials and information
Provide financial information for grant applications and reports
3. Administer UtahPresents finances through bookkeeping and accounts management
Manage accounts payable including submitting bills to the University’s accounts payable department, communicating with vendors, and overseeing payments to artists
Manage deposits and revenue recognition including from ticket and concession sales, venue rentals, grants, individual donations, and other sources
Create journal entries and ensure accuracy of accounting
Reconcile balance sheets, cash, general ledger, payroll accounts, and supporting journal entries; responsible for monthly and year-end financial closings
Track revenues and expenses for each program, event, and grant
4. Handle administrative matters regarding day-to-day operations and procedures
Administer payroll and personnel actions in the HR systems including hiring paperwork
Coordinate purchasing activities, including Purchase Orders, Payment Requests, Campus Orders, and University Purchasing Cards
Assist with financial settlements with various users/renters of Kingsbury Hall
Track statistics for each season, maintaining historical statistics and generating reports
Coordinate document control and overseeing the maintenance of departmental records
5. Serve as staff liaison to the UtahPresents Advisory Board’s Finance Committee
Work with Finance Committee Chair and Executive Director to schedule and plan semi-monthly committee meetings
Engage committee members in strategic efforts to strengthen UtahPresents fiscal health
Prepare financial reports for the committee and full Advisory Board
Additional requirements:
Knowledge of accounting principles and practices
Advanced computer skills and ability to remain current with programs, especially spreadsheets and data management programs
Confidence managing and prioritizing multiple tasks with attention to detail and follow-through
Ability to work within a complex system and coordinate with multiple people and entities
Capacity to work both independently and collaboratively, fostering and maintaining positive relationships with a diverse group of colleagues
Discretion in handling sensitive and confidential information
Creative problem-solving skills
The Financial & Administrative Manager has broad authority in the decision-making process regarding procedural decisions in record maintenance, the application of appropriate accounting classifications, approving expenditures and/or the commitment of unit resources. Non-routine problems may be handled independently, but it is expected that such actions will be coordinated with the appropriate officials.
The Financial & Administrative Manager must correctly interpret regulations to ensure UtahPresents complies with Federal, State and other requirements.
Minimum Qualifications
Bachelor’s degree in a related area or equivalency (2 years related work experience may be substituted for 1 year of education). Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Master’s degree in a related area may be preferred.
