Job Summary:

As an Accounts Payable Specialist, you will play a crucial role in our finance department by managing and maintaining our company’s accounts payable process. You will be responsible for processing invoices, ensuring accurate and timely payments to vendors, and maintaining proper financial records. Your attention to detail and commitment to accuracy will be essential in ensuring the financial health and integrity of our organization.

Key Responsibilities:

1. Invoice Processing:

• Review and verify invoices for accuracy, completeness, and compliance with company policies and procedures
• Code and enter invoices into the accounting system accurately and promptly.
• Resolve any discrepancies or issues with invoices, purchase orders, and receipts.

2. Vendor Management:

• Maintain vendor accounts, including regular communication and addressing vendor inquiries.
• Ensure vendors are paid in a timely manner while maximizing early payment discounts when applicable.
• Reconcile vendor statements and resolve any discrepancies.

3. Payment Processing:

• Prepare and process weekly, bi-weekly, or monthly payment runs through various payment methods (e.g., checks, ACH, wire transfers).
• Ensure adherence to payment schedules and terms.
• Monitor and manage outstanding payments and payment inquiries.

4. Expense Reporting:

• ·Review and process employee expense reports in accordance with company policies.
• Verify receipts and expense claims for accuracy and compliance.

5. Month-End and Year-End Procedures:

• Assist in month-end and year-end closing procedures, including reconciliations and accruals related to accounts payable.
• Generate reports and provide data for financial analysis and reporting.

6. Compliance and Record Keeping:

• Maintain accurate and organized records of accounts payable transactions.
• Ensure compliance with all relevant laws, regulations, and internal policies.

7. Process Improvement:

• Identify and implement process improvements to enhance efficiency and accuracy in the accounts payable function.
• Recommend and participate in system enhancements and upgrades.

Qualifications:

• Proven experience as an accounts payable specialist or in a similar role.
• Strong understanding of accounting principles and accounts payable procedures.
• Proficiency in accounting software and Microsoft Office, especially Excel.
• Excellent attention to detail and accuracy.
• Strong organizational and time management skills.
• Effective communication and interpersonal skills.
• Ability to work independently and collaboratively within a team.
• Knowledge of relevant laws and regulations related to accounts payable.
