Live Operations Finance Manager
ABOUT HANDSOME BROOK FARMS
Handsome Brook Farms/Farmers Hen is a pasture-raised and free-range egg provider, working with a network of small producers to raise organic eggs according to American Humane certified standards. We have developed and strictly follow standards for Pasture-Raised and Free-Range hens that ensure that our hens forage freely outdoors with protective cover and are able to nest and sleep safely indoors at night with plenty of room to roam, perch, and exhibit natural chicken behaviors. We currently work with more than 100 independent producers raising more than 2,000,000 layer hens.
We are currently recruiting for a Live Operations Finance Manager to oversee all the farm-related Accounts Payable and Operations Finance transactions associated with The Farmer’s Hen LLC (TFH) entity, which comprises 50 farms and roughly 1,000,000 hens. As The Farmer’s Hen is a newly incorporated entity, we are in the process of transitioning contracts for the farms acquired as part of the transaction to standard contract pricing and payment reporting to farmers. Each transition will require confirmation of payments made to date, determination of a firm transition date, and explanation to the farmer about how the transition will occur. This will take the better part of the next six months to get all farms onto Farmers Hen standard contracting, at which point all farms will then require the below weekly processes for which the Live Operations Finance Manager would then be responsible.
Position Description:
For the first several months, the Live Operations Finance Manager will be responsible for ensuring a smooth process for transitioning farms within The Farmers Hen farm network to standard TFH contract administration. This will require the following steps for each farm/flock/contract:
– Working closely with Live Operations team about execution of a new contract
– Ensuring close communication with the 3rd party Company that the flocks were acquired from to confirm if they (the other Company) are dropping any farms from their payment system prior to activation of a new contract directly with TFH
– Determining what the other 3rd party Company has already paid for directly (pre-lay payments or egg payments) and ensuring a clean cut-off transition point to TFH contract values [The 3rd party Company is billing TFH for any payments they make, but are often delinquent in invoicing, so not happening in real time.]
– Explaining that calculation to farmers for their own understanding and clarity
In addition to the above, the Live Operations Finance Manager will be responsible for the following activities for the flocks within the TFH in-house network:
· Daily accounts payable data entry for feed, pullet (immature hen) and miscellaneous expenses:
o Monitor farm accounts payable email account for incoming feed and miscellaneous invoices and vendor inquiries.
o Enter accounts payable invoices into accounting system with high degree accuracy, ensuring that each invoice is correctly assigned to individual Farmers Hen producer or pullet houses, to facilitate accurate expense reporting on a producer-by-producer/flock-by-flock basis.
o File invoices in corresponding vendor folders on company network.
o Create and review monthly reports to confirm accurate entry of data, and investigate any inconsistencies.
· Weekly producer payment reporting and processing:
o Monitor inbound tracking of shipments from farms to confirm pallets picked up for payment
o Create individual excel files for each shipment of eggs from each producer, calculating estimated payment due for each shipment (flat rate for dozens picked up each period)
o Apply egg grading report information to previously estimated payments to determine actual value owed for each shipment and to calculate deductions to be taken against estimates paid
o Extrapolating the value of shipments that are not graded with a full report to pay farmer fairly (based on averaging of immediately preceding and following shipments)
o Enter payment values into account system to create checks that will be sent to producers.
o Print and mail estimate and actual payment paperwork to producers.
o Manage new flock placement pre-lay payment to producers (calculated at $0.50/hen placed, paid over 8 weeks)
· Monthly Live Operations hen/egg calculations for financial close:
o Calculate feed consumption by producing flock for the month
o Calculate feed remaining in bin at month-end for each flock in production
o Calculate eggs in cooler for each flock in production and allocation value (producer/hen/feed proportion)
o Calculate value of new pullets placed on farm and new layers coming into production each month in order to create total pre-production value of hens
o Calculate hen amortization value for all flocks
o Manage feed categorization between pre-production flocks and flocks that have begun producing in a given month
· Monthly Egg COGS/Inventory calculations for financial close:
o Determine any COGS purchase adjustments to align pick-ups/payments in correct month (eggs picked up in 1 month but paid for in the next)
o Confirm nest run remaining in inventory to transfer expenses from COGS to Balance Sheet by egg type
o Provide input cost for valuation of finished goods for different egg types: cage-free conventional, cage-free organic, free-range conventional, free-range non-GMO, free-range organic, pasture-raised organic
Requirements:
· Attention to detail and ability to multi-task
· Strong verbal and written communication skills
· Strong organizational skills
· Proficiency in Microsoft excel
· Experience with Quickbooks Online preferred
· Data entry experience preferred
This position will co-report to Handsome Brook Farm’s COO/CFO on the contract transition responsibilities and to Handsome Brook Farm’s VP of Finance on all weekly farm A/P and monthly financial close responsibilities.
