A Prestigious Investment Firm is seeking a Talented and Sharp Executive Assistant/Office Manager to join their collaborative team in Presidio. In this hybrid role, you will serve as a crucial asset to the C-level executives you’ll support along with their outstanding team while simultaneously streamlining office operations. Your impeccable time management skills and strong intuition to think one step ahead is essential to your success at this top-notch firm. This is an exciting opportunity to create a major impact on a leading investment firm where you have the ability to take on several diverse projects at once.
Responsibilities:
- Provide top-notch executive administrative support for 1-3 executives
- Successfully manage busy calendars by anticipating needs and proactively addressing conflicting priorities
- Handle correspondence and internal communications across multiple channels
- Coordinate meetings and events, such as preparing meeting materials, agendas, and catered meals
- Organize complex travel itineraries and prepare critical financial documents
- Oversee all office operations and take charge of long-term projects
- Assist with office move and build out
- Assist with new-hire onboarding and with liaise HR team
- Act as “face of the office” and greet guests
Qualifications:
- At least 5+ years in an executive-level support role, preferably in professional services
- Ability to anticipate current and future needs and subsequently create a detailed action plan to achieve them
- Advanced proficiency in Microsoft Office Suites and willingness to learn other software
- Hands-on approach to overseeing projects and daily tasks
- Ability to work in a fast-paced environment and handle several tasks at once
- Attention to detail and accuracy in all work
- Proactive, driven, and polite approach to work
