The Investment Office of The University of Massachusetts Foundation manages the endowment funds of the five-campus UMass System. These funds provide UMass with a permanent, self-sustaining source of funding for student financial aid, faculty support, and research. With around $1.5 billion of assets, we strive to generate attractive, long-term returns by investing with world-class investment managers using a diversified, multi-asset portfolio.

Position Summary

Under the direction of the Assistant Controller, the Accounting Clerk supports the Finance Department with the maintenance of all financial procedures and compliances. This role is responsible for maintaining the Fondation’s accounts payable, certain accounts receivable, vendor management, etc. The Accounting Clerk works closely with the Finance team to assist with month close, year-end audit, and other assigned projects.

The Finance team handles the endowment administration functions, including onboarding of new endowment funds, processing of gifts, allocation of monthly investment returns, and disbursement of annual spending rate payouts.

Additionally, the group supports the investment activities managed by the Foundation, including instructing trades and wires to our custodian bank. The operations group is responsible for maintaining the books and records of the foundation, including the preparation of the annual operation budget, audited financial statements, and federal and state tax returns.

Essential Functions & Responsibilities

Weekly A/P Processing

• Enter invoices daily. Perparre Ap report for approval
• Obtain a complete and correct form W-9 and ACH authorization form, verifying taxpayer identification number from each vendor prior to issuing any payments
• Work closely with UMass Amherst Athletics Department with regard to accounts payable activities.
• Maintain check register and list of outstanding checks

Check and ACH Log

• Maintain and update check log and ACH for all current endowment and foundation checks
• Research and identify check issuers, donor names, campus, and purpose
• deposit check monthly or more depending on volume
• Transfer checks and ACH from Chase to BNY Mellon
• Post current, Endowment and foundation checks to stellar

Process Company Matching gifts

• Maintain company matching gifts that are received by the Foundation
• Research and identify donors and campus for matching gifts

P-Card Management

• Review credit card expense receipts and GL coding to ensure completion and accuracy
• Run monthly exception report
• Post P-card transactions to stellar
• Assist with 1099 form preparation in January
• Participate in Year-end Audit
• Support ad-hoc financial analyses and other projects

Qualifications & Skills

• Bachelor’s Degree preferred in accounting, finance, or business administration
• Internship or +1 year of accounting experience
• Experience with cloud-based accounting software preferred
• Proficiency in Microsoft Excel
• Three days onsite required, flexible with schedule
• Strong attention to detail; good problem-solving skills
