The Opportunity
Reporting to the Chief of Staff, the Office Manager will manage the front desk, maintenance crews, supply inventory, mail and provide assistance to the program staff as necessary to support The Partnership’s mission. In addition, the Office Manager will maintain relationships with the building management and security personnel while ensuring that management is continuously informed of any crisis, emergency, issue or inquiry that requires same day response or periodic updates. We are seeking an individual who is detail oriented, works well under pressure, is adaptable and comfortable working under pressure, uses sound judgement and is willing to assist with any assigned task. The Office manager is a critical position in ensuring that the overall operation runs smoothly as a cohesive team by providing services and assistance and allowing the staff to focus on client and operational issues clients instead of administrative details.
Responsibilities
The Office Manager will manage the front desk, maintain daily communications log, meet and greet all visitors, manage maintenance crews, ensure office cleaning protocols are adhered to, manage supply inventory and vendors, serve as a liaison to the building staff and maintain good working relations with all security and building management personnel. You will also keep appropriate senior management informed of all issues, crisis, emergencies and inquires that arise and ensure same day responses to all concerned parties. You will book transportation and make all travel arrangements and also ensure the office and conference rooms are sufficiently equipped, clean and tidy. In addition, you will provide support and back-up to the program administrative staff to include back-up to the Executive Assistant in supporting the CEO/COO when necessary. You will manage the mail and deliveries, coordinate with the finance and development offices regarding checks and donor communications, participate in mailings and provide information to clients about basic referrals (shelter, drop-ins, soup kitchens, food pantries and other crisis services). You will perform miscellaneous work on ad-hoc projects as required.
Skills and Qualifications
A High School degree (or equivalent) is required and some college is preferred along with 4 years working in an administrative or events management role, preferably in a non-profit organization. Experience in a reception, facilitation or event coordination role (or related area) a plus. Must enjoy engaging with people and understand the responsibility of being the front line of the organization. You must have experience with inventory management, facility oversight, supplies management and mail management. You must also be technically savvy in current technology, have experience in working with databases and shared files, have superior English writing and math skills as well as experience with MS Office and an ability to create and format documents. Bilingual is a plus. You must thrive in working with diverse groups, be a self-starter with a strong work ethic and sense of accountability, enjoy problem solving and be willing to take on challenges and ad-hoc projects.
