Tetra Tech’s Disaster Response Division is currently seeking a Marketing Assistant for our Maitland, FL office to assist with the coordination of marketing activities related to the firm’s disaster response and recovery business.
A key requirement of this position will be the ability to maintain organization in a deadline-driven environment. THIS IS NOT A SALES POSITION.
Responsibilities : Proactively assist marketing and business development staff with the proposal process from initial project identification through post-submittal follow-up.
Complete daily research on targeted proposal opportunities, using aggregate search websites and client procurement portals.
Effectively track release, award, and post-submittal follow-up for RFP processes.Compile bi-weekly list of new RFPs, including client name, due date, RFP highlights, and other pertinent information.
Gather, download, and organize time-sensitive client documents on shared drive.Compile basic reports, such as client lists and project status updates, as needed.
Enter all proposal opportunities into internal tracking systems.Liaise with Marketing leads to collect required information and request time charge codes.
Draft and prepare client correspondence, as well as internal notifications and reports.Communicate, manage, and execute contract / legal tasks needed for marketing bids.
Act as a liaison with subcontractors for large projects.Provide outstanding customer service at all times, representing Tetra Tech to current and potential clients.
Initiate and manage client outreach to request and collect information after proposal submittal.Conduct proactive follow-up to ensure action items assigned and deliverables requested are completed on schedule.
Print, assemble, mail, and track delivery of marketing and contracts / legal materials.Review and route appropriate industry and competitor information.
Provide support to Business Development (BD) team as needed.Provide direct support to Director of Marketing in department administration and communication.
Provide general research, as required.Assist with various office tasks as needed (supply ordering, printing / shipping field documents, etc.
Qualifications : The ideal candidate will have / is required to have : 1-2 years administrative or marketing experience in a professional services firm.
Advanced knowledge of Microsoft Word and Excel, including the ability to include complex formatting, templates, tables, and importing graphics.
Advanced knowledge of Adobe Acrobat, including managing forms. Basic expertise with PowerPoint. Experience with Smartsheet is highly desired.
Must be able to work under pressure in a deadline-driven environment.Must possess strong grammar and writing skills.Must be able to demonstrate ability to provide critical thinking and problem-solving skills.
Must possess strong organizational and time management skills, attention to detail, and ability to work under tight deadlines.
