Job Description

SUMMARY:
Provide accounting, customer order processing, and administrative support to the Finance and Sales Coordination departments along with coverage for the reception desk.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Process invoices for inventory suppliers, verify accuracy and resolve discrepancies.
• Apply customer payments in Hedberg and prepare bank deposits for remote capture.
• Assist with accounts receivable aging and invoice collections.
• Responsible for maintaining, tracking, and distributing petty cash.
• Assist the Sales Coordination department with customer quotes, order processing and order fulfillment needs.
• Provide backup support to the reception desk.
• Assist with internal, customer, and industry events.
• Assist, as needed, with distributing incoming mail.
• Assist with ordering supplies for the facility.
• Other duties and special projects as assigned.
• Regular and predictable attendance.

QUALIFICATIONS

• Two to five years’ experience in business office administrative duties.
• Previous experience with accounting, purchasing, data entry, and customer service functions.
• Maintains a positive attitude, is flexible with changing priorities, and enjoys working with, and supporting, others.
• Intermediate skills in Microsoft Excel and Outlook.
• Previous experience with a multi-line phone system and receptionist duties preferred.
• Organized and disciplined in managing tasks and responsibilities with the ability to prioritize well.
• Proactive and professional business communication skills, including email, reporting, & other department communication.
• Strong attention to detail and accuracy.
• Ability to process sensitive information comfortably and confidentially.
• Able to work independently without daily supervision.
