The Finance Manager serves as the primary financial officer of the organization and assists with benefit processes for staff. Key roles include: managing all accounting and payroll ensuring that Museum complies with applicable federal and state laws and reporting requirements. In addition, working with the Executive Director to ensure proper financial controls are in place and that the Board of Directors has adequate information to perform their fiscal oversight role. This is a less-than-full-time role with flexible work hours. The Finance Manager reports to the Executive Director.
Qualifications
The successful candidate will have several years of experience as a financial manager and have the following professional characteristics:
- Accounting Management experience of a department, program, organization, or business, two years or more.
- Team player able to work with the Museum Board, the Executive Director, multiple individual employees and museum departments, contractors, vendors, customers, and donors to achieve organizational goals.
- Ability to initiate and monitor: Accounting goals and processes; Accounting accuracies, issues, and remediations; Organizational and accounting timelines and deadlines; Accounting workload and schedule.
- Ability to accurately research, respond to, apply and communicate: Relevant new knowledge; Updates to existing regulations, trends, and processes; Evolving accounting needs and trends for the organization.
- Knowledge and use of GAAP in a working accounting environment.
- Excellent written and verbal communication skills.
- Results-driven with a dedication to achieving organizational goals.
- Creative problem-solving skills and adaptability.
- Excellent organizational skills and attention to detail.
- Significant experience, three years or more, using QuickBooks: QuickBooks Retail 2020 and later versions a plus.
- Significant experience, three years or more, with Microsoft Office Suite, particularly Excel.
- Experience with CRM databases, Square retail, and G-Suite is a plus.
- Comfortable with asking questions and suggesting improvements or alternatives.
- Maintain confidentiality and handle sensitive information with discretion.
- A successful track record in setting priorities; keen organization, and problem-solving skills which support and enable sound decision making.
- A multitasker with the ability to wear many hats in a fast-paced environment.
- Personal qualities of integrity, credibility, and dedication to the mission of the Rice Museum.
Essential Functions / Major Responsibilities
Finance and Accounting:
- Accounts payable: Process all monthly payables and organization expenses.
- Accounts Receivable: Process and reconcile all donor reports. Reconcile general ledger revenue to the donor database.
- Financial Reporting: Create monthly journal entries for bank charges, payroll, taxes and benefits, and expenses in preparation for monthly financial statements. Produce monthly financial reports, including projections as needed.
- Monthly Account Reconciliation: On a monthly basis, reconcile balance sheet accounts, including bank and payroll liabilities.
- Maintain adequate tracking to ensure that all restricted and designated funds are spent according to the directions of the donors and the Board of Directors.
- Maintain complete and well-organized financial records and supervise the destruction of old digital and hard-copy records that are no longer required to be held.
- Maintain the accounting system for the Rice Museum according to GAAP and other applicable accounting standards.
- Annual Budget: Assist in preparing and monitoring the annual budget with direction from the Executive Director and Board Finance Committee.
- Coordinate occasional meetings of the Finance Committee.
- Report on finances to the Board as requested by the Finance Committee.
Taxes and Compliance:
- Assist tax accountants in preparing the annual IRS 990 and Oregon CT-12.
People, Payroll, and Benefits:
- Payroll: Prepare and submit payroll information to payroll service.
- Personnel Policy: Ensure that personnel procedures, practices, records, and employee benefits are current and comply with state and federal regulations and Museum policies.
- Manage new employee benefits enrollment.

Rate: $25.00 – $35 hr. This position requires 20-30 hours/week with a flexible work schedule that may fluctuate with the financial calendar.
Location: Hybrid. This position is based in Hillsboro, Oregon. Some aspects of this role require time spent at the Museum.
