Job Summary The Accounts Payable Documentation Specialist is responsible for incoming mail and verification of invoices in the imaging system. Processes include scanning, verifying and indexing images in imaging system. Expected to have a strong working knowledge of imaging system and inbound processes into ERP.
Accountabilities
- Opens incoming mail and prepares invoices for imaging. – 15%
- Performs document verification process of invoices in imaging software. Ensures accuracy of keywords indexed for images. – 65%
- Contacts various departments and/or suppliers if invoice received is of poor quality and cannot be processed accurately. – 5%
- Resolves discrepancies in imaging queues as necessary. – 10%
- Handles checks returned to accounts payable for enclosures. – 5%
Supervisory/Management Responsibilities
This is a non-management job that will report to a supervisor, manager, director or executive.
Minimum Requirements
- High School Diploma or equivalent
Knowledge, Skills Or Abilities
- Basic computer skills including databases and data entry
- Knowledge of office equipment (fax/copier)
- Preferred clerical and/or accounts payable experience – Preferred
- Attention to detail, thoroughness
- Strong data entry skills, basic computer skills
