Job Summary
The Accounting Assistant at Pharmer’s Market plays a pivotal role in ensuring the seamless financial operations and administrative functions of our organization. This multifaceted position involves meticulous documentation management in QuickBooks, handling cash-on-hand controls, and processing various accounting transactions. The role extends to providing crucial support to the accounting team, addressing discrepancies, and managing consignment activities.
Additionally, the position involves administrative responsibilities, such as collecting and recording transactions, coordinating Smart Safe operations, and serving as a key contact for both internal and external stakeholders. The Accounting Assistant will also contribute to general administrative tasks, including mail distribution and hotel accommodations coordination.
Responsibilities
Documentation Management: Ensure accurate recording of all financial transactions in QuickBooks Online (QBO). Maintain organized and updated documentation for financial records.
Cash Management: Implement and maintain controls for cash-on-hand, recording and managing the facility’s cash-on-hand log. Coordinate and process wholesale farm payment pickups.
Accounts Payable and Receivable: Process all accounting transactions, including accounts payable and receivable. Enter and pay Purchase Orders (POs) upon approval. Create credit memos and handle consignment management, preparing reports and organizing payouts.
Reconciliation and Discrepancy Resolution: Research and resolve accounting discrepancies. Identify business needs to ensure compliance with reporting requirements. Support the accounting team in various reconciliation tasks.
Documentation Handling: Collect invoices and receipts from the Sales Team and record transactions. Scan invoices and Smart Safe receipts upon payment receipt and save in the shared drive.
Communication and Coordination: Serve as the point of contact for Brands and customers. Facilitate/reserve hotel accommodations for delivery drivers and sales representatives according to accounting guidelines. Coordinate and process deposit pickups and maintenance for Smart Safe operations.
Team Support: Support the accounting team in daily tasks and projects. Create and distribute payout summaries for consigned farms.
General Administrative Tasks: Check warehouse mail and distribute it appropriately.
