Summary:
MMC is looking for an Office Manager. The Office Manager is responsible for directly performing and/or supervising all office functions including office reception responsibilities, secretarial duties and general administrative support of the office and staff. The Office Manager ensures that the day-to-day operation of MMC headquarters is smooth and efficient.
Essential Functions:
Manage all office building vendors to include coffee, lawn, snow removal, cleaners and paper shredding services
Responsible for office reception functions including greeting and organizing tours and lunches with customers, vendors, and associates
Provide general administrative support for Executive Leadership Team and staff
Process mail receipt and distribution activities and respond to routine correspondence
Create, type, and distribute internal and external correspondence as requested by Executive Leadership Team
Coordinate office use of office space for team functions and events
Ordering office, janitorial, coffee/tea and other supplies for jobsite and office; coordinate with purchasing team as required
Assist in upkeep of common use office equipment (copiers/scanners); coordinate with IT team as required
Organize and schedule social occasions for the office, including lunch and learns
Maintain records related to office management
Assist in completing special reporting and licensing requirements
Complete special projects as required
Accomplish responsibilities as required using business software as approved by WSFP
Offer suggestions and solutions on improving efficiency of general office procedures
Qualifications:
3-5 years business office experience
Good computer skills with working knowledge of business software applications
Strong background in basic secretarial skills is mandatory
Supervisory experience is a plus
Excellent written and verbal communication skills required
Ability to prioritize and complete multiple projects and tasks
Self-motivated and detail oriented
Puts forth a courteous, friendly, helpful attitude at all times when receiving office visitors, answering the phones, or dealing with other associates
