KEY DUTIES/RESPONSIBILITIES:
Manages furniture, fixtures, & equipment (FF&E) purchase orders and deliveries for new construction and remodel projects according to the new construction and remodel ordering process. Obtains quotes from kitchen equipment consolidators (KEC) for projects based on ordering templates and approved budgets. Interfaces with Restaurant Development regarding equipment or decor design, layout, and installation to determine appropriate quantities and specifications. Generates purchase orders for projects for both corporate and franchise operators. Reviews purchase orders for proposals and verifies accuracy based on latest negotiated contract pricing from vendors and ordering template. Acts as a point of contact for KEC and vendor questions. Works directly with Construction Managers to troubleshoot and resolve any problems that may arise during the construction project. Leads cross-functional weekly KEC project update meetings and participates in franchise operator kick off project meetings.
Performs Oracle data entry functions, including purchase order entry, item set up, and historical spend analysis. Manages change orders and reconciliation for final billing. Assists in generating and maintaining all Oracle PO ordering templates and KEC templates in accordance with updated pricing and specifications from FF&E category managers. Reviews architectural drawings and millwork shop drawings and updates KEC ordering templates based on Restaurant Development plan maintenance revisions. Facilitates uploading of document renderings, sign packages, and third-party quotes to database as needed.
Monitors purchase orders and continuously maintains inventory levels of all FF&E components and construction buy-out items for corporate and franchise new construction and remodels. Monitors corporate and franchise new restaurant and remodel construction schedules and project status to ensure availability of supplier inventory for on-time restaurant openings. Maintains regular communication with KECs, suppliers, construction managers, designers, and Equipment Purchasing category managers regarding inventory levels, supply risks, and potential exposure. Works with the cross-functional team to develop strategies to mitigate inventory exposure on obsolete or near-obsolete items. Prepares purchase plans to meet all build schedule demands and ensures accuracy in all financial information. Monitors costs of FF&E components for new builds and remodels to ensure achievement within budget.
Manages business relationship with KECs and vendors and follows up regarding supply/delivery problems. Identifies and corrects complex KEC/vendor customer service-related patterns that require immediate attention to ensure timely new restaurant building sites and remodels.
Approves equipment purchases for corporate projects within approval level. Works with corporate accounting to verify asset depreciation for corporate replacement of furniture, fixtures, and equipment. Assists in preparing and overseeing budget and accounting expenses and challenges unanticipated budget developments for corporate projects. Monitors performance relative to established plans/budgets.
Performs other related duties, tasks and responsibilities as required, assigned and directed.
QUALIFICATIONS:
Education – Associates or bachelors degree preferred. Procurement certification preferred.
Experience – Minimum of 5 years related purchasing experience, preferably in the food service or retail industry. Oracle experience desired.
Skills/Knowledge/Abilities:
Ability to read and understand equipment specifications, technical drawings, architecture drawings, and millwork shop drawings.
Strong administrative and purchasing skills are a must, as are exceptional organizational skills and attention to detail.
Must be able to coordinate and administratively manage multiple projects within strict deadlines.
Ability to effectively function in a fast-paced environment.
Strong knowledge of Oracle desired and knowledge of MS Office Suite and the internet required.
Understanding of terminology used in the purchasing practices and procedures is helpful.
Demonstrates integrity and ethical behavior.
The range for this position is $76,600 – $106,600 and is based on an employee located at our corporate headquarters in San Diego. If the candidate is hired in a different city to work remote, we will apply a geographic pay differential based on the cost of labor in the market in which the employee resides.
