POSITION: Accounting and Finance Supervisor
Responsibility & Authority
The Accounting and Finance Supervisor is responsible for performing and overseeing day-to-day operational activities related to accounting and finance, quality control, and other administrative tasks. This role is key to ensuring the company’s Quality Management System and accounting and finance standard operating procedures are adhered to and remains accurate and effective. The Accounting and Finance Supervisor will work with multiple departments and teams to assist with a variety of tasks and projects.
Finance Activities:
· Assist with the review and payment of all expense reports if documented expenses are within company guidelines.
· Oversee Accounts Payable and Accounts Receivable processes.
· Perform quality reviews related to accounting functions.
· Perform monthly, quarterly, and annual reconciliation activities for project tracking.
· Reconciliation of company credit cards and other financial statements as assigned.
· Assist with entering transactions into accounting software (QuickBooks).
· Work with leadership to develop and report on internal financials and KPIs.
· Develop policies and standards for accounting and finance processes.
· Perform quality control on all customer orders to ensure orders are received, processed, and fulfilled following the company’s Quality Management System.
· Oversee invoicing processes.
· Reconcile capital equipment sales across various systems.
· Work within the company’s CRM to assist in keeping records up to date.
· Utilize company’s CRM and Excel to develop new reports and provide requested analytics to management.
Regulatory Activities:
· Participate in Internal Quality Audits underneath the direction of the Regulatory Manager.
· Adhere to all regulatory requirements and the requirements of the company’s Quality Management System and the requirements of ISO 13485.
· Develop and update internal Work Instructions and Standard Operating Procedures (SOPs) as needed to ensure appropriate quality controls are documented and adhered to.
Human Resources Activities:
· Manage the onboarding and offboarding process for company employees including the completion of all required documentation.
· Work with the Operations Manager and Operations Director to ensure the company remains in compliance with human resource requirements and all applicable laws.
General Administration Activities:
· Serve as proxy for the Operations Manager in their absence.
· Lead in the coordination of company events including travel, meals, and any other needs.
· Participate in monthly inventory process to ensure adequate stock of materials is always on hand.
· Assist with the coordination of the company’s marketing efforts including tradeshow management, industry events, sales inquiries, and the creation of promotional/marketing materials.
· Assist with special projects as assigned by the leadership team.
Required Experience & Qualifications:
· A Bachelor’s Degree in business finance and accounting.
· Minimum of five (5) years of finance and accounting experience.
· Minimum of two (2) years of leadership in finance and accounting.
· Demonstrated competency working with QuickBooks.
· Excellent analytical, oral, and written communication skills.
· Advanced knowledge of Microsoft Office products (Excel, Word, PowerPoint, and Outlook).
· Professional experience working within a CRM.
· Must be able to sit and stand for extended periods and carry at least 25 lbs.

· Must be able to accept feedback and be able to demonstrate strong problem-solving skills.
· Ideal candidate would have previous operations management experience.
Work Environment & Hours
This position will be based at the corporate office located in Charlotte, NC and will require the employee to work daily at the office. The hours for this position are 8:00 am – 5:00 pm, Monday – Friday plus additional hours as required.
