Finance Manager, Administration

STATUS: Full time. Salaried. Exempt. 40 hour work week on average. In Office.

DEPARTMENT: Administration

REPORTS TO: Executive Director

SPECIAL CONDITIONS:

• Fingerprinting and background check are required. Must clear all background checks.
• Reliable transportation; current driver’s license; FL State driver insurance coverage required.
• Evening and weekend availability may be required for special events, trainings, community events, etc.

GENERAL DESCRIPTION:

The Finance Manager is responsible for managing the general finances of the organization including the preparation of all financial reports and annual budget for the Executive Director, Finance Committee and Board of Directors review and approval.

GENERAL RESPONSIBILITIES (Include, but are not limited to):

• Manages the finances of the organization using Quickbooks software, which will include billing, invoices, tracking grants, and running and analyzing financial reports.
• Prepares financial reports for the Board of Directors and Finance Committee including Profit & Loss Statements and Balance Sheets.
• Works closely with the Finance Committee and Executive Director to prepare the annual budget.
• Manages FFC’s Donor Perfect database and gift entry.
• Links financial and fund raising databases to ensure accurate reporting and tracking of donors/and or donations.
• Maintains accurate and updated lists of donors in appropriate giving circles for the purpose of donor recognition initiatives.
• Handles all financial grant tracking and reporting including appropriate administration of all restricted grant funds.
• Works closely with the Executive Director to ensure timely reporting to foundations and corporations on all grant funding.
• Follow FFC policies and procedures with regard to Fostering Success Grant financial administration (such as composing accompanying letters /correspondence w/grant disbursements; acknowledgment of gifts, assessment requirements, grant approvals/denials, etc.)
• Serve as a liaison for IT, and facilities needs and services
• Support the Executive Director and Board of Directors with internal and external communications.
• Maintain effective and cooperative relationships with community partners, other employees, vendors, and the public.

Provide support in the area of Finance:

• Prepare invoices for correct processing, coding and filing
• Process receipts and deposits
• Reconcile credit card receipts to statements
• Collect and process employee travel expense reports
• Manage vendors
• Assist with preparation of annual budget
• Track financial activities within the budget
• Coordinate filing of 990 and all other financial reporting required by law

Education, Experience:

• BS or BA or equivalent experience in business management, accounting, or bookkeeping and financial management in a nonprofit setting.
• Experience with QuickBooks is strongly preferred.
• Demonstrated ability to use Donor Perfect fundraising software or a similar product preferred.
• Proficiency with Microsoft Office, including Microsoft Word, Excel, PowerPoint, Access, and Outlook.

WORKING CONDITIONS:

• Much of the work is performed in the FFC offices, which are well lighted and adequately ventilated. The noise level in the working environment is usually moderate. Transportation to and from offsite locations is required, which will result in exposure to temperature changes. Conditions at off-site locations will vary considerably.

PHYSICAL AND MENTAL REQUIREMENTS:

• Mental effort – use of listening, critical thinking and problem-solving skills when interacting with employees, volunteers, donors, clients, and community members. Ability to multi-task.
• Physical Requirements – long periods of sitting, working on a computer, walking to various work areas, going up and down stairs, talking on the phone, working with office/computer equipment, attending meetings, and sitting at desk or table while listening, talking, and taking notes. Standing during meetings as presenter and/or facilitator. Able to frequently lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds.
