SUMMARY of POSITION
The following is a general list of job responsibilities that may be reviewed and/or updated at the conclusion of the probationary period and annually thereafter.
The Director of Finance and Administration will be a strategic thought-partner, and report to the CEO. The successful candidate will be a hands-on and participative manager and will lead and develop an internal team, including FIND staff and 3rd party contractors/consultants, to support the following areas: finance, business planning and budgeting, human resources, administration, and IT. The Director of Finance and Administration will play a critical role in partnering with the Executive Leadership Team in strategic decision making and operations as FIND Food Bank continues to enhance its quality programming and build capacity. This is a tremendous opportunity for a finance and administration leader to maximize and strengthen the internal capacity of a high-impact organization.
ESSENTIAL DUTIES and RESPONSIBILITIES
Finance
· Oversee and is responsible for ensuring FIND’s financial planning, recordkeeping, financial performance and accountability are fiscally sound, accurate, timely and complete, and works closely with the CEO to responsibly balance a bold vision with fiscal pragmatism.
· Oversee all aspects of FIND’s accounting functions including accounts payable and receivable, general ledger, payroll, reconciliation of accounts, grant accounting, fixed assets control, depreciation and banking practices ensuring that GAAP is met.
· Oversee and lead annual budgeting and planning process in conjunction with the ED; monitor progress and keep senior leadership team abreast of the organization’s financial status
· Manage organizational cash flow and forecasting
· Provide overall financial oversight and monitoring, including development and implementation of sound fiscal management practices and internal controls.
· Manage and oversee monthly accounting processes, including bookkeeping, payroll management, invoicing, banking, and financial tracking of restricted grants. In this capacity, manage relationships with key external vendors.
· Implement a robust grants management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to, and that financial data and cash flow are steady and support operational requirements.
· Analyze and present financial reports in an accurate and timely manner; develop financial reporting materials for all donor segments and oversee all financial, project/program and grants accounting.
· Coordinate and lead the annual audit process including local, state and federal compliance filings; liaise with external auditors and the finance committee of the board of directors.
· Provide staff support to the finance committee on the Board of Directors.
· Prepare budgets and accurate financial reports for grants and track reporting of project/program budgets and expenditures. Work with the Development team and management team for timely grant proposal and grant report submissions
Human Resources
· Oversee FIND’s outsourced, HR partner to ensure ongoing quality of HR services, systems and infrastructure; and to monitor performance against contract.
· Manage and oversee FIND’s human resources (HR) functions, including: recruitment and hiring; benefits administration and oversight; new employee orientation, and employee retention strategies.
· Further develop FIND’s human resources capacity as the organization scales, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting.
· Ensure that recruiting processes are consistent and streamlined.
· Establish and manage a comprehensive training program to educate employees regarding staff policies and procedures.
· Work closely and transparently with all external partners, including third-party vendors and consultants.
Information Technology
· Oversee FIND’s outsourced, cloud-based IT partner to ensure ongoing maintenance and quality of IT systems and infrastructure and to monitor performance against contract.
· Manage and track organizational need for computer hardware and software, procuring new equipment as needed.
· Collaborate with CEO to ensure successful implementation, and ongoing management, of Financial, Inventory and Donor Data base systems
Legal
· In partnership with CEO, oversee day to day risk management and legal activities, including: all business insurance, memorandums of agreement; contracts; leases, and other legal documents and agreements.
· Ensure compliance with all applicable laws and regulations.
· Ensure proper filing and tracking systems of business documentation.
Strategy and Business Development
· Work in partnership with CEO and leadership team to implement new strategic initiatives in response to an increasing demand for FIND’s services.
· Work in partnership with CEO and leadership team to develop strategic plan for FIND. Provide financial and administrative services input for all strategic planning processes.
· Partner with CEO and leadership team to represent FIND with key stakeholders, including funders, the media, government, academic institutions, community organizations, and volunteers.
General
· Lead a team comprised of internal staff and contracted consultants to ensure all functions that the position is accountable to achieve is completed effectively, efficiently, and with a high quality work environment.
MINIMUM REQUIREMENTS
· BS/BA degree with at least 5-7 years of experience managing finance and administration functions. Advanced degree preferred. Or, life and work experience equivalent.
