Responsibilities:
Filing, answering of phones, and administrative tasks as assigned
Reconcile vendor invoices / statements
Review and job cost invoices from vendors
Enter invoices into QuickBooks
Process time cards
Compile and transmit payroll to payroll service (such as hours worked from time sheets) and enters data or computes and posts wages, and reconciles errors, to maintain payroll records
Maintain a wide variety of payroll information (e.g. direct deposits, W-4s, leave balances, salary, levies, garnishments, voluntary and involuntary contributions, etc.) for ensuring the availability of documentation and compliance with established policies and regulatory guidelines
Ensures that all employees are paid on time and that their paychecks are accurate
Prepare certified payroll
Prepare billing
Bank reconciliations
Liability / Workers Comp knowledge a plus
Collect and review insurance certificates
Prepare CA Preliminary Lien Notices
Prepare and collect Conditional and Unconditional lien releases
Develop reports derived from general ledger data to meet the analytical needs of company management
Other Duties As Required.
Qualifications:
Must be self-motivated, organized and detail oriented
Proficient in QuickBooks and Microsoft Office Programs (Word, Excel, Outlook)
Ability to maintain strict confidentially
Outstanding problem-solving skills
Ability to multi-task and work under deadlines
Excellent communication skills (verbal and written)
Bilingual (Spanish)
