ACCOUNTS PAYABLE COORDINATOR

JOB PURPOSE

Processes accounts payables, performs data entry, executes accounting adjustments and completes weekly and monthly file reviews.

RESPONSIBILITIES

• Follows processes and procedures outlined in AP flowcharts.
• Requests invoice approvals and Purchase Orders in DocuWare.
• Processes daily check run.
• Enters invoices accurately into accounting software.
• Executes accounting adjustments and manual check forms.

1. FOLLOWS PROCESSES AND PROCEDURES OUTLINED IN AP FLOWCHARTS BY:

• Ensuring that the most current versions of the Accounts Payable flowcharts are being used.
• Verifying that all transactions comply with the policies and procedures of Christie Lites.
• Following processes as detailed on flowcharts without exception.
• Clarifying with your supervisor any questions you have with the Accounts Payable flowcharts.
• Notifying supervisor of any suggested changes or potential improvements to the flowcharts.

2. REQUESTS INVOICE APPROVALS AND PURCHASE ORDERS IN DOCUWARE BY:

• Using DocuWare to send specified invoices to appropriate individuals for approval.
• Using DocuWare to send invoices to appropriate individual for VP stamp or Purchase Order.
• Reviewing invoices and Purchase Orders to ensure they match.
• Sending emails for entity match, price match, invalid Purchase Order, per flowchart.

3. PROCESSES DAILY CHECK RUN BY:

• Confirming that the Accounting Manager has sent the Provisional Payment Listing prior to noon.
• Retrieving corresponding invoice, PO, and backup documents for items that are checked off the PPL.
• Running Batch Payables report and select items approved for payment per the PPL.
• Checking that totals match and print checks, taking care to ensure the check number is correct.
• Reporting any issues to Accounting Manager.
• Submitting the PPL with checks, invoices, and back up to the Analyst.
• Ensuring all checks are signed and prepare them for post.

4. ENTERS INVOICES ACCURATELY INTO ACCOUNTING SOFTWARE BY:

• Ensuring invoices are entered into the correct database and vendor account.
• Using Chart of Accounts master spreadsheet to accurately code each invoice.
• Entering discount items, name codes, PO numbers, and strict due date notes.

5. EXECUTES ACCOUNTING ADJUSTMENTS AND MANUAL CHECK FORMS BY:

• Preparing and completing Accounting Adjustment Forms received from VPF.
• Preparing and completing Manual Check Forms received by Treasurer.
• Reporting to Accounting Manager if the data on the forms is incorrect or incomplete.
• Reporting to Accounting Manager if there is an invalid signature on the forms.

Experience with accounting software applications, preferably Sage Business Vision, Nexus and DocuWare
