Job Description:
Provide logistical support for the 2nd floor of Bank of America Plaza in Atlanta. Provide executive administrative support to the Quantitative Finance Executive and his team within Treasury. Principal duties include coordinating Treasury Atlanta events and trainings. Work closely with the QF Atlanta site leadership to assist with QF Atlanta training, QF-specific Atlanta training, Atlanta QMAP Networking, QF Atlanta Volunteering, and related activities. Helps create an environment on the 2nd floor of the Bank of America Plaza in Atlanta that facilitates associates coming together in-person for ideation, collaboration, and career development. Manage the schedule of the QF Executive, including meetings, telepresence and travel; scheduling virtual and in-person staff events; coordinating and responding to correspondence and requests from outside groups and senior management of the Company; typing memoranda and correspondence; maintenance of accurate records; preparing expense reimbursement; manage access to the 2nd floor of Bank of America in Atlanta, and other related duties. Assist with adhoc business support activities such as managing control evidence collection and archival, drafting model maps, editing of whitepapers, and assisting in collection of responses to external requests.
Summarized duties:
Daily administrative support to Executive, team members and visitors
Travel reservations and expense submission
Calendar maintenance and meetings management
Maintenance of various bank’s systems and preparation of files and decks
Power Point presentations, spreadsheets
Full On-boarding / Off-boarding assistance
Potential Quantitative Finance candidates screenings and interviews
Developing/editing correspondence for executive
Responsibilities may include operations analysis, identification and resolution of workflow issues, associate training, service quality, process improvement, business continuity, communication and personnel processes
Budgeting and invoice processing, payment, reconciliation
Employee engagement/team building events planning
Floor management
Order/stocking/inventory of office and kitchen supplies
Serves as a liaison for the building management and as a floor warden
Works closely with technology team to identify and improve technology applications, software and systems access and needs for the group
Identifying, organizing, and archiving audit evidence
Documentation gathering and preparation
Audit mailbox maintenance
Manage adhoc business support assignments
Maintain controls evidence
Liaison with Technology to ensure access controls and resolve access issues
Required Skills:
College degree preferred.
Demonstrated ability in either current or prior positions to interact with senior level leaders
Accuracy/quality control – must demonstrate accuracy & thoroughness and monitor own work to ensure quality
Ability to work independently, multi-task, manage time wisely; handle confidential and sensitive material with highest degree of integrity.
Excellent attention to detail and organizational skills
Pro-active with ability to stay focused and maximize time efficiently
Strong executive presence; superior interpersonal communications skills
MS Office Products (Outlook, Word, Excel, PowerPoint). Must be proficient with these programs.
Desired Skills:
Typically manages different and conflicting objectives, projects or activities at once.
Performs diverse, advanced, and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence
Knowledge of Bank of America systems including Concur, Ariba/eRequest, myFacilities, visitor access system, etc.
Relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive
