The team is looking for an experienced business administrator with finance and program management experience to join the team. The ideal candidate is someone who thrives in a fast-paced environment, takes initiative, and can embrace challenges with a positive attitude. This individual must have strong organizational, finance and project management skills, a robust work ethic and the ability to communicate effectively at the executive level. This individual must also uphold the highest level of integrity, business professionalism and be able to deal with sensitive data with absolute confidentiality.
You will work in close partnership with the program director to provide seamless support to the Team.
Primary Responsibilities
Responsible for the following areas, including, but not limited to:
Be passionate about diversity, respect, and inclusivity.
Managing Director’s calendar as a top priority resolving calendar conflicts quickly and timely, setting up meetings as requested, partnering closely with Director to anticipate changes and sense high priority needs.
Ensures preparation of meetings by gathering, preparing, and providing meeting materials (e.g., agendas, briefings, etc.) records notes & action items.
Budget management, including but not limited to creating purchase orders, tracking actuals, creating financial forecasts, creating, and processing reclasses, pulling reports in Informa, updating excel reports monthly, updating slide decks for monthly and quarterly business reviews. Creating vendor positions and following established process for global team. Track end dates for vendors.
Managing projects end-to-end with clarity in expectations and deliverables.
End-to-end intricate domestic and international travel planning, including proactive adjustments to drive scheduling and resourcing efficiencies.
Help manage a ROB (rhythm of the business) schedule and team calendar including all team events: Offsites – large- and small-scale off-site, Team meetings, and morale events.
Order, hardware, peripherals, catering etc. As needed.
Ability to lift 30 lbs. As needed
Manage other business and administrative projects as needed.
Qualifications
2-4 years’ experience providing Administrative or Business Support for a manager in a fast-paced environment, with an emphasis on scheduling meetings/events, travel management, and administration work for program director and above.
Strong project and finance skills, executive level calendaring, and understanding of the business to help with decision-making processes.
Demonstrated proficiency using Microsoft productivity tools including Outlook, Project, Word, Excel, and PowerPoint AND experience using OneNote, SharePoint, Teams, or similar collaboration tools.
Strong attention to detail and organizational skills.
A collaborative team player with excellent verbal and written communication skills.
Highly self-directed and comfortable in a startup environment with ambiguous and rapidly growing demands.
Strong sense of urgency in driving projects to completion.
Proactive anticipation of leaders’ needs and able to work independently to make administrative decisions and requests for information on the leader’s behalf.
Must maintain confidentiality of sensitive material and information with discretion and professionalism.
Experience with project tracking and project management tools (Proficient Level).
