JOB DESCRIPTION
JOB
TITLE: Accounts Payable Specialist
REPORTS TO:
Controller
DIRECT REPORTS: N/A
WORKS CLOSELY
WITH: Location Managers, Department Managers, Vendors, CFO
POSITION SUMMARY: Responsible for applying company policy,
validating payments, and processing business transactions using the
dealership business system.
SPECIFIC DUTIES AND
RESPONSIBILITIES:
Calculate, verify, and post invoice
payments to maintain accounting records in accordance with GAAP.
Compile and sort documents, such as invoices and statements,
organizing in a logical manner to substantiate business
transactions.
Enter parts, whole goods and general vendor
invoices into the business system as per company policy and
procedure.
Determine taxability of business transactions,
calculate use tax and self-assess use tax on each invoice.
Maintain W-9 and 1099 information of vendors for reporting to the
IRS.
Report other data as required to comply with government
regulations.
Obtain valid PO numbers or manager approval of
Non-PO invoices, resolve discrepancies; reconcile statements, review
transactions and investigate documentation.
Verify account
balances with vendors, request checks on credit balances from vendors
and resolve statement discrepancies.
Produce vouchers, registers,
sub-ledgers and aging reports using the business system, MS Excel or
paper journals.
May reconcile bank statements and general ledger
accounts, posting corrections as directed by the Controllers.
Other duties as assigned by the Controller, CFO or CEO.
GENERAL JOB REQUIREMENTS:
Competencies: Accurate data
processing, 10 key entry and proficient with MS Excel.
Experience: Minimum 4 years related accounting experience.
Education: Associates in accounting.
PHYSICAL
REQUIREMENTS:
Extensive use of computer including
keyboarding, mouse and monitor. Extended periods of sitting, some
bending, stooping, kneeling, squatting and twisting. Occasional
scooping or sweeping snow/ice. Must be able to regularly lift 20 lbs.
and occasionally 50 lbs.
