Startup Chief Financial Officer, Accounting Manager

This is a unique and exciting position working with startups that need accounting and back office workflows developed from the ground up. We are searching for a Chief Financial Officer who is also a transformative leader, strategic thinker, technology guru, accounting subject matter expert, and customer experience fanatic.

This is a leadership role that will supervise and develop the junior members of our client accounting services team and be responsible for providing top-notch CFO services to the startup clients we serve.

This role will also serve as the primary accounting contact for our clients, be responsible for making sure the team is upholding and executing on our service commitments, and lead efforts to develop deep relationships with founders, CEOs and other executives.

To qualify for this role, you must have previously held an accounting leadership role with supervisory responsibilities, be fluent in Quickbooks Online, have experience integrating applications to the Quickbooks Online platform, have experience designing workflows, leading process implementations, and have a demonstrated commitment to providing an exceptional client experience.

Responsibilities will be both employee and customer-facing.

Employee-Facing Responsibilities:

• Effectively communicate service scope to the delivery team and assign accountability to appropriate team members.
• Train staff to execute ongoing services after initial client on-boarding is complete and systems are in place.
• Ensure client delivery teams are managing checklists and preparing timely deliverables based on scope.
• Provide ad hoc training of accounting concepts and technology tools to team members as questions arise.
• Hold weekly scheduled check-ins with team members to discuss open issues and status of client projects.
• Serve as the staff champion by providing encouragement, guidance, and celebrating the Resolve Works core values in day-to-day interactions.

Customer-Facing Responsibilities:

• Lead the client on-boarding process by developing a deep understanding of the client’s business, designing accounting workflows, and implementing technology tools per the scope of work.
• Identify & recommend appropriate technology tools for the client’s needs. Perform testing, integrate technology across platforms, document workflows, and provide necessary training.
• Monitor ongoing service delivery and serve as the liaison between the client and the delivery team.
• Attend regularly scheduled client meetings.
• Be available to the client to address ad-hoc service, technology, and process questions.
• Serve as the client champion by listening to the client’s needs, empathizing with their challenges, and guiding appropriate solutions.
• Manage client discussions concerning scope creep.
• Coordinate with external parties such as investors, legal, and tax as needed.

Technical Accounting Duties:

Financial Close:

• Manage the monthly, quarterly, and annual close process.
• Prepare balance sheet reconciliations, manage adjusting journal entries, and maintain supporting work papers.
• Keep financial close checklists up to date with current tasks, due dates and assigned to the proper staff member.
• Document detailed processes in Clickup, using both written and video instructions.
• Present financial statements to the client’s leadership team, board, or investors with in-depth analysis of variance trends and comparison against budget.
• Identify and implement relevant KPI monitoring.

Budgeting and Forecasting:

• Drive the client’s annual budgeting process.
• Coordinate with the members of the executive team and various-departments to gather information and assumptions.
• Build a dynamic, driver-based budget with key assumptions clearly identified.

Investors, Mergers, and Acquisitions:

• Preparation of pro-forma financial statements and forecasts for internal or investor use.
• Support client’s capital raise by participating in investor relations and helping to create pitch-decks.
• Support M&A activities including analyzing targets, supporting due-diligence, and making recommendations on post-merger integrations.

Cash Management:

• Forecast client cash needs and cash position.
• Proactively communicate cash matters to the client leadership team.

Inventory:

• Maintain accurate cost and purchase details in the inventory schedule.
• Accurately code inventory purchases to the proper item in the financial system.
• Manage creating and receiving inventory against purchase orders.
• Create Inventory Builds/Production runs in a manufacturing environment.
• Reconcile and balance physical inventory counts to the financial system.

Payroll:

• Process timely and accurate payroll using third-party payroll software.
• Process payroll tax reporting and submissions, if not managed by the payroll software.
• Maintain payroll schedules that accurately reflect employee wage rates, deductions, deferrals, and garnishments.
• Maintain bonus and other supplemental payroll schedules.
• Oversee onboarding and termination of employees in the payroll system.
• Timely management of employment account registrations by state. Enroll new states and manage TPA assignments in the payroll system, as necessary.
• Monitor quarterly and annual tax filings prepared by the payroll provider to ensure compliance and

Accounts Payable:

• Implement and maintain AP workflows and approval procedures.
• Ensure all Accounts Payable are accurately coded in the AP software and syncing to the financial software.
• Manage AP processing, ensuring bills are approved and paid in a timely manner.
• Collect W9s and prepare annual 1099 filings at the end of the year.

Sales Tax Administration:

• Monitor sales-tax exposure and compliance obligations.
• Process new state sales tax registrations.
• Manage the reporting and submission of monthly, quarterly and annual sales tax filings.

System Management:

• Responsible for managing the integrity of the financial systems and any integrations touching the financial system.
• Within the financial system, responsible for ensuring the Chart of Accounts is appropriate for the client’s business, is numbered, and grouped into meaningful categories.
• Within integrated systems, responsible for ensuring that the external system is mapped to the financial system and accurately transmitting data.
• Manage close and lock dates to prevent unwanted data errors.

Communication and Representation:

• Coordinate and collaborate with the client’s other service providers such as vendors, tax CPAs, and attorneys, as needed.
• Present yourself as a member of the client’s internal team, unless otherwise instructed by the client.

Processes and Workflow:

• Identify & implement opportunities to maximize workflow efficiency.
• Possess awareness and curiosity of technology tools and integrations.

Special Projects:

• Other special projects as needed.

• You have experience working with startups in various industries. You understand the fast-moving startup landscape and can be responsive to founder needs for reporting and general counsel relating to startup financial matters.

• You are able to self-teach technology tools. You must be able to research technology solutions, understand requirements, self-navigate training & tutorials, and perform fit-testing for real-world scenarios.

You have the ability to systematically and thoroughly train both internal team members and client representatives on how to execute custom workflows and use technology tools. This includes preparing written and video documentation and performing live training sessions.

• You have a mastery of Quickbooks Online and integrated technology. You know QBO like the back of your hand and have experience integrating tools such as Bill.com, Avalara, Expensify, Brex, ClearSpend, and Gusto.
