The Department of Biomedical Engineering is seeking a Finance Associate or Finance Generalist to manage our financial activity.
The Biomedical Engineering (BME) Department at UVA was founded in 1967 as a joint program of the School of Medicine and the School of Engineering and Applied Science. Today there are 29 core BME faculty members and more than 30 joint faculty members from multiple schools and departments. We have a student population of more than 125 graduate students and nearly 300 undergraduate students from across the country and the world. The BME building, built with support from a Whitaker Foundation award, is centrally located in the School of Medicine complex and is adjacent to the University’s Cardiovascular Research Center, the Couric Cancer Center, and the Carter Immunology Center. Current BME research foci are (a) systems biology, computational modeling, and biomedical data science, (b) cell and tissue engineering, and (c) biomedical imaging. These technologies are often applied to cardiovascular disease, cancer, musculoskeletal disorders, and infectious and neurological diseases.
Duties and Responsibilities include:
Purchasing and Payment Processing – 50%
o Place and approve orders for department faculty and labs for purchases under $5,000, on grant and non-grant accounts.
o Check account balances to ensure funds are available to make requested purchases
o Process purchase requisitions, purchase orders, travel and expense reports, and accounting adjustments.
o Process purchasing card transactions on monthly basis.
o Advise faculty, staff and students on purchasing, travel and general reimbursements.
Provide purchasing documentation to offices outside BME as needed.
Prepare and approve Account Certifications – 25%
o Prepare and submit reconciliation reports for grant and non-grant accounts each month
o Collect all missing documentation for recording/reporting purposes
o Run suspense account reports, review to determine if cost transfers or labor adjustments are needed.
o Initiate cost transfers as per UVA guidelines and Office of Sponsored Program guidelines.
Labor Scheduling and Adjustments – 20%
o Assist Unit Administrator and Grants Manager with payroll costing allocations and payroll accounting adjustments.
Correspondence/Department Procurement Contact & Other- 5%
o Departmental contact for correspondence with Schools of Engineering, School of Medicine, internal service providers, and external vendors
o Communicate with vendors on purchasing transactions and troubleshoot orders, as needed.
o Assist BME staff with other tasks as needed.
Qualifications:
o Experience with Workday Finance is preferred, but not required.
o Must be highly organized and have excellent analytical and numerical ability, written, verbal, and interpersonal communication skills.
o A working knowledge of Microsoft Word, Excel, and Outlook is required.
o Knowledge of accounting, accounts payable, procurement, and reconciliation.
o Basic level knowledge of sponsored (grant) funding, and purchasing rules and guidelines
o Ability to research, analyze, balance, and/or reconcile financial data.
o Ability to handle multiple, competing, and simultaneous priorities effectively, and to independently research financial processing or process questions and provide appropriate direction and resolution.
To be considered for the Finance Associate candidates must have a High School Diploma. To be considered for Finance Generalist candidates must have a bachelor’s degree with at least two years of experience.
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
This position is based in Charlottesville, VA with the potential of a hybrid or telework environment, depending on the work being performed and the incumbent’s performance.
This position will remain open until filled. This is an Exempt level, benefited position. Anticipated Hiring Range: $50,000 – $67,000 commensurate with education and experience.
