Together, our innovation, discoveries and engagement with our communities improves the health and well-being of society Job Summary:* The Assistant Director of Finance is a professional exempt staff position reporting directly to the Associate Dean for Finance and Administration (ADFA).
Responsibilities of this position are: ensures efficient day-to-day financial operations in the school; serves as a resource to the deans, faculty, staff and students of the Skaggs School of Pharmacy and Pharmaceutical Sciences (SSPPS) for financial information; clarifies, interprets and trains others on financial and policy issues; functions as the staff authority in the school regarding fiscal policy; insures school accounts are in compliance with federal, state, campus, school and granting agency policies and procedures; represents the school on fiscal policy matters; remains up-to-date with any changes or new procedures in federal, state and campus fiscal requirements, policies and procedures; utilizes accounting principles to compile, create and complete financial reports in support of management decisions; makes management decisions as the authorizing official in the school for the ACARD procurement program; and serves as the SSPPS representative on various Anschutz Medical Campus, University and external offices and committees. This position is responsible for the oversight of all financial accounts, including grants and contracts for the school, and has the responsibility for providing oversight of the Dean’s Office financial operations, including central school-wide oversight of all sensitive expenditures. In addition, this position is expected to provide strategic financial management recommendations for the school.
Finally, this position is delegated with the authority to act on behalf of the ADFA and lead the finance team Examples of Work Performed* + Advises and supports the ADFA, which includes acting on behalf of the associate dean with independent decision-making responsibilities. + Responsible for day-to-day operation of the school’s financial administration including accounting and financial transactions. Position must ‘set a tone’ of fiscal compliance for SSPPS leading by example and influencing others, including faculty.
+ Develops and implements strong, effective internal controls within individual units as well as within finance functional area. + Provides expertise, training and mentoring on all budget reporting and financial matters. + Oversight and responsibility for reviewing and approving sensitive expenditures and official functions.
Responsible for making decisions and judgement calls or recommendations to ADFA on appropriate use of funds. + Serves as the school’s staff authority on fiscal policies, procedures and best practices. Ensures the school is in compliance with all relevant campus, university, state and granting agency fiscal policies and procedures.
+ Develops, implements, evaluates and revises financial operations to ensure fiscal and programmatic effectiveness. Instructs SSPPS personnel on financial process and procedure. Ensure compliance using both training and enforcement, when required.
+ Assists ADBF with development of financial reporting and forecasting; analyzes financial data; provides oversight of scheduled and ad hoc fiscal reporting activities within finance unit; anticipates and solves problems, recommends and implements strategies and actions. + Controls and monitors revenue and expenditure activity in school’s accounts. Ensures finance unit uses accurate, timely and effective tracking of fiscal activities and specific external contracts (ie, clinical and FFS contracts).
+ Provides school oversight for grants accounting, including procurement, allowable expense, compliance and reporting, generally accepted accounting standards, and serves as school liaison with the Associate Vice Chancellor – Financial Services & Controller for all sponsored research activities. + Remains current with all relevant university, state, federal and granting agency policies, rules and requirements. Evaluates changing issues/policies and the impact on the school’s program plans and activities.
Ensures timely and effective communication across SSPPS as appropriate. + Examines current procedures of a specific program or policy and formulates alternatives and/or dictates solutions including new action plans. + Provides expertise, training and mentoring on all financial and accounting concepts as well as reporting matters.
+ Manages the finance team under the direction of the Associate Dean of Budget and Finance, which includes supervising a Full time finance manager and a senior finance and accounting professionals. Supervision responsibilities include all aspects of performance management, such as conducting evaluations, resolving disputes, and training as well as coaching and understanding of the unit and school’s mission, goals and priorities. + Works with internal and external stakeholders in a manner which is collaborative, respectful and helpful and which, by these actions, postures the dean’s office as well as the school in a positive light for those interacting with this position.
