We are looking to deepen our leadership bench by onboarding a Manager of Invstment Operations to provide direct daily management oversight for our Retail/Intermediary Operations Team and help co-lead the Institutional Operations Team.
The Retail Intermediary group (2 staff + manager) is responsible for Sterling’s Fixed Income SMA (~1,400 accounts) and Equity Wrap/Model business (~2,000 accounts). Over the past year we have been integrating an outside service provider, Archer, to provide much of the daily operations as we move to more of an oversight role. The Institutional group (~10 staff plus manager) is responsible for portfolio accounting, reporting and daily reconciliations on ~400 Institutional separate accounts across Fixed Income and Equity. It’s important to point out that the Operations team’s largest “client” segment is an internal one; Sterling’s portfolio managers, traders, and client service teams.
Sterling utilizes Advent APX (accounting), Archer (accounting/trading), Omgeo OASYS (settlement), Charles River (portfolio management/trading), and Salesforce (CRM) along with Bloomberg, Factset and other tools
The Manager of Investment Operations is charged with running a high performance Team. You are responsible for executing, in a Player/Manager role, the following responsibilities:
Day-to-day management and leadership of Operations team(s), with the goal of instilling positive cross-team interplay, collaboration and execution
Responsible for attracting, engaging and retaining a diverse, high performing workforce. Also responsible for training staff and performance appraisals
Assess the current team for strengths and weaknesses and look for ways to improve (staff skill development, holding staff accountable, conflict resolution, managing to deadlines)
Improve and enforce the client experience through overall and consistent work quality, accuracy of work, speed to delivery in meeting requests and deadlines
Execute on key objectives set forth by CAO; improve accuracy, speed, customer service, and productivity
Responsible for streamlining and documenting processes to, increase efficiency and mitigate risk
Support the transition to Archer and help redefine the role of Sterling Operations in relation to Archer.
Support the integration of investment teams/accounts brought about by the Truist merger of equals.
Serve as a “face of Operations” internally and externally, creating open lines of communication and engagement across multiple departments and with external/internal clients
Assist and contribute as called upon from Information Technology around Enterprise Data initiatives, Data Warehousing and any hand-offs/transitions from Operations to IT
Constantly think about “what’s next?” for the group as a whole, and as it relates to process improvements and infrastructure adaptations
In general, ensure the quality execution of the team’s core work, which consists of:
Ensuring transaction/position integrity in Sterling’s records (Advent APX/Archer) against client custodial records, and also to Sterling’s OMS (Charles River) and relevant reference data (Bloomberg, etc.)
Research and remediate reconciliation discrepancies daily. Requires close and frequent communication (email and phone) with counterparts at custodial banks and internal settlement team
Prepare and distribute all month-end accounting and performance statements, per client specific instructions, for assigned client list during first 7 business days after month end
Manage operational aspects of new account onboarding, including set up of account attributes in portfolio accounting system, data feed connectivity to custodian, and verifying funding status
Oversee necessary steps for other operational activities over an account lifecycle, such as contributions/withdrawals, audit requests, and account terminations
Provide internal “customer” support, quickly responding to a high volume of time sensitive questions and requests from multiple internal teams
Background Description – We are looking for an existing and experienced (10 years+) Operations manager who hails from a sizable asset management organization. Prospective candidates must possess strong functional domain expertise, have managed in-house and/or outsourced investment operations, and add value as both a manager and individual contributor. Other requirements include:
Excellent people management and leadership skills
Ability to take direction, yet bring a philosophy and “playbook” of their own
Extensive knowledge of Fixed Income, Equities, and other investment securities types
Possess the gravitas and credibility to communicate at all levels within Sterling and build deep, trusting relationships with other business groups
Working knowledge and/or familiarity with Advent APX, Archer, Omego, Charles River, Bloomberg, FactSet, Salesforce and other related software and investment operating platforms
Ability to adjust to fluctuating work hours brought on by the nature of Investment Operations
Bachelors degree required. Advanced degrees preferred. CFA and/or CIPM helpful.
