We are currently looking for a full-time Student Accounts Counselor. The Student Accounts Counselor is responsible for monitoring active and inactive student accounts to ensure timely payment to the University and assures that University policies and procedures for accounts receivable are followed. This position reports to the University Bursar. The position also requires close coordination with Financial Planning and Academic Directors. This position requires great attention to detail.
Responsibilities of the position include:
- Provides outstanding customer service, to include answering phones and assisting callers as well as assisting students that come to the office.
- Oversees and coordinates third party billing to include company pay, Voc-Rehab, WIA etc.
- Submits company pay revisions in Financial Aid to have packaging reviewed/updated.
- Posts payments, including those received physically and online.
- Tracks payments regarding certain student groups.
- Makes collection calls to students who are inactive and are past due.
- Audits student accounts for processes including but not limited to registration, refunding, and other auditing as it relates to student accounts.
- Processes all accounts received on inactive students who owe balances.
- Changes account statuses and places holds on each account received.
- Collects, receipts, assists in banking deposits, and ensures the system accounting department receives this data in an accurate and timely manner.
- Runs weekly collection letters for SCS and United Adjustment.
- Sets weekly collection letters in student information system once all documentation is received.
- Keeps monthly counts of accounts received along with total balances for each location.
- Counsels students with high balances or delinquent accounts and determines if additional funding is needed and how it can be obtained.
- Actively pursues active accounts that have become delinquent in payment and notifies students of upcoming payments via email/phone/text.
- Participates in student registration and orientation activities to promote student awareness of the Bursar department.
- Maintains a thorough working knowledge of all functionality of the student information system and all other related student administrative systems.
- Pulls and copies documents to be sent to students validating account balances.
- Pulls and copies documents needed for outside collection placements for both Tuition and CEF.
- Communicates financial information in a professional and courteous manner to help students and parents understand their financial obligation to Sullivan University both verbally and in writing.
- Identifies problems in the process, works toward resolution, composes, and implements new procedures when necessary.
- Makes change for the bookstore, petty cash accounts, café, and others as needed.
- Assists and provides back up support for other members of the department as needed.
- Performs other duties as assigned.
Requirements of the position include:
- Minimum of a Bachelor’s degree in related field.
- Two years related work experience.
- An equivalent combination of education and work experience may be considered.
- Proficient computer skills with specific emphasis on Microsoft office programs, Campus Nexus, Image Now and Great Plains.
- Ability to coordinate multiple projects simultaneously and efficiently while meeting required deadlines.
- Ability to maintain concentration and attention to detail while working for extended periods of time.
- Responsible, driven, independent, open-minded, and flexible.
- Understands and accepts the need for discretion and confidentiality.
- Must be detailed oriented.
- Must possess excellent communication (oral and written), organizational and interpersonal skills.
- Must be able to sit for extended periods of time.
- Must be able to hear and speak well enough to communicate with students, faculty, and staff face to face and via the telephone.
