The James Museum of Western & Wildlife Art opened in April 2018, with a mission to provide experiences that inspire human connection and transformation through art that depicts the peoples, landscapes, and history of the American West and wildlife of the world. The facility houses the significant collection of Tom and Mary James and includes 30,000 SF of gallery space, a 4,000 SF special exhibitions gallery, a 129-seat auditorium, a 6,000 SF special events rental space, a double height lobby with water feature, store, café, education classrooms, over 200 covered parking spaces, on-site collection storage, administration offices, and back of house service facilities. Staff is in the process of translating the words of the Mission/Vision/Values/Goals into exciting, living, planned programming that includes special exhibitions in a variety of genres, artist talks and demonstrations, art classes, lectures, performances, docent-led tours, and a variety of activities for children and families.
ABOUT THE POSITION:
The Director of Finance will be a strategic thought-partner, and report to the Executive Director (ED). They will work collaboratively with the ED to develop a fiscal strategy and corresponding financial operations to ensure that all business areas are properly coordinated with programmatic areas. This position will oversee revenue & cash flow; insurance and risk management; and investments. They will support the ED in efforts to ensure long-term financial stability. The Director of Finance collaborates with the senior leadership team on all strategic and tactical matters as they relate to budget management, cost benefit analysis, forecasting needs and the securing of new funding.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Ensuring that all business aspects of the museum are in alignment with its overall objectives and reflect the institution’s core artistic and educational values, setting high standards for integrity, productivity, professionalism, creativity, diversity and cooperation in the workplace
Working closely with the leadership team to ensure that all programmatic decisions are in alignment with the financial and/or operational realities
In collaboration with the ED, directs, supervises, and improves, when needed, the museum’s financial and budget processes, including the framework for budget preparation and reporting, supervising budget control systems, monitoring budgets and forecasts
Ensuring adequate funding, maximized investments and increase financial efficiencies by working closely with the Board’s Finance Team on annual budgeting, re-forecasting, risk management, and investment activities
Managing the timely production of all financial reports including monthly financial statements, while reviewing and questioning the monthly analysis of the museum’s financial performance
Managing cash flow and debt financing, ensuring the timeliness and accuracy of department compliance, and acting as key liaison with banking institutions
Ensuring the accurate preparation of tax returns including: 990, 990-T, 941, 1099’s, DR-405, and others as required by museum activities; ensures the museum complies with all required tax filings and disclosures required for 501(C)3 Private Operating Foundations
Negotiate all non-fine art insurance contracts and act as primary point of contact for insurance broker. Assess and manage risks, monitor claims and ensure adequate coverage for all aspects of Museum operations, as well as the art collection.
Working with the Development team to create annual and long-term fundraising goals to support operational and program expenditure budgets
Overseeing all treasury functions including managing cash, investment management and developing sustaining banking relationships; tracking and managing performance of endowment and cash investments, in consultation with professional investment advisors and in keeping with established policies and investment guidelines
Acting as fiduciary and overseeing all aspects of the retirement plan
Ensuring the maximum financial contribution of all revenue-generating activities of the museum by working closely with the ED to ensure that store, cafe, catering, rental activities, admissions, and membership reflect the institution’s high standards and remain competitive with both non-profit and for-profit competitors
Institutes rigorous financial planning and analysis processes for evaluating museum performance, meeting goals, and suggesting areas for potential revenue enhancement, cost reduction, program improvement and/or policy change
Ensures internal control systems are properly designed, implemented, maintained and consistently adhered to; ensure key transaction systems (including fundraising, membership, store sales, admissions and ticketing, restaurant sales, rental sales, and parking revenues) are efficiently and fully implemented and regularly reconciled to the general ledger
Serves as advisor to the Board of Trustees and multiple committees including but not limited to Governance, Executive, Audit, Finance, Building and Compensation Committees
