Project Guardianship (PG) provides guardianship services for older adults and people with disabilities in New York who have been determined by a judicial proceeding to need help making decisions and have no family or friends able to assist them. TGP’s team approach employs attorneys, case managers, and finance associates to provide clients with services that allow them to be as independent and in the least restrictive setting as possible. Since 2005, TGP has served hundreds of New Yorkers and has become a leading voice in a national, interdisciplinary effort to re-envision and strengthen guardianship policy.
The Role
The Director of Finance and Operations will provide leadership and support in the areas of finance, business planning and budgeting, human resources, administration, and IT. As a thought-partner to the CEO, the DFO will play a critical role in partnering with the senior leadership team in strategic decision making and operations as Project Guardianship continues to enhance its quality programming and build capacity. The DFO will oversee $4M in nonprofit funding and lead a team of 6 responsible for performing trust responsibilities for 175 senior adults and/or people living with disabilities.
Major Responsibilities
Financial Management (75%)
Serve as the organizational leader in the nonprofit’s finance and budget management and related supervision
Ensure the integrity, accuracy, and usefulness of all financial reports
Prepare year-end workpapers and act as primary liaison with independent auditors to ensure a successful annual audit
Continuously review and share revenue, cash, and expense results and projections with the CEO, Board of Directors, and staff and serve as the main contact for the Finance Committee of the Board
Execute and supervise all grant and contract management activities including budgeting/analysis, funding proposals, grant management from post-award to closeout, billing (which includes putting together supporting documentation such as payroll registers, invoices, timesheets, etc.), and fiscal year closeout for grants
Manage banking relationships and develop and maintain GAAP-compliant financial policies, procedures, and operations
Record all financial transactions in organization’s accounting software and complete bank reconciliations
Oversee preparation and filing of organization’s Form 990 and Charities (CHAR500) form, as well as other tax filings as required
Perform and supervise all accounts payable and accounts receivable/cash receipt functions as well as payroll processing and staff allocations
Client Finances:
Supervise Client Finance Associates to ensure accurate budgeting and forecasting for all clients, on-time expense payments, monthly bank reconciliations, and accurate reporting of all transactions in database
Oversee Accounts Payable including monthly automatic bill payments, check printing, online bill pay, distribution of cash assistance, and client credit card reimbursement
Oversee the preparation and submission of court-mandates annual and final client financial reports
Develop and manage internal fiscal controls and procedures in order to achieve best practices; streamline processes and use technology to create greater efficiencies
Oversee the marshalling of client income and assets, and assist in the management of client investment portfolios and the establishment of supplemental needs trusts
Work with tax accountant to file client tax returns
Human Resources Management (10%)
Work with Professional Employment Organization on the oversight of all human resource functions including payroll, new employee on-boarding, compensation, benefits management, legal compliance and staff reviews
Serve as a role model and coach to help build a supportive and collaborative organizational culture
Work with Professional Employment Organization to manage benefits package including enrolling and terminating employees from benefits plans; reviewing and approving benefits bills; remitting direct payments for pension, managing Affordable Care Act compliance, and filing annual reports for EEOC
Strategic Leadership, Collaboration, and General Supervision (5%)
Assist the CEO and other leaders on all strategic and tactical matters as they relate to business planning
Partner with the senior leadership team in strategic decision making and operations as PG continues to enhance its quality programming and build capacity
Oversee the implementation of PG’s strategic plan and operational plans
Ensure the organization’s deep commitment to racial equity is reflected in our workplace, service delivery, and external partnerships
Update and improve policies and procedures such as operations manual, annual reporting process, and task management tools and protocols
Facilities and Administration (5%)
Oversee development and management of contracts, insurance, and serve as the main liaison with legal council
Oversee equipment purchases and supply orders
Information Technology (5%)
Serve as main liaison with IT department at the Kings County Supreme Court to ensure the high-quality delivery of IT services and development of long-term strategic plans
Oversee negotiation and administration of vendor, outsourcer, and consultant contracts and service agreements
Develop and review budget for IT services and ensure it complies with stated goals, guidelines, and objectives
Handle the procurement of IT hardware and softwar
Oversee the management of mobile device portfolio
The DFO will encompass the following qualifications:
Salary
$120,000-$140,000 (starting salary commensurate with experience).
