Postpartum Support International (PSI) Looking for Postpartum Support International Finance Manager at Remote Full Time

Postpartum Support International (PSI) works to promote awareness, prevention and treatment of mental health issues related to childbearing. Headquartered in Portland, OR, PSI provides support through our national HelpLine and support network, trains professionals, and disseminates information and resources through website, online groups, local volunteer support coordinators, and annual conference.

The PSI Finance Manager is a remote contract position, estimated at 16-20 hours/week, responsible for implementing and maintaining the organization’s accounting system, working with external payroll companies, accountants, and external bookkeeping firms as needed. Additionally and in a dual capacity, the PSI Finance Manager supports a contract with the U.S. Health Resources and Services Administration (HRSA) and is responsible for accounting and reviewing financial operations in compliance with the designated project contract.

The PSI Finance Manager reports directly to the Executive Director and implements strategic financial solutions and duties, working collaboratively with office staff, board treasurer, finance committee, and project implementation team members. The Finance Manager requires understanding and maintenance of the organizational accounting systems, including bank and brokerage accounts, vendor relationships, fiscal agency for state Chapters, and reporting for tax returns.

Responsibilities

Organization (Postpartum Support International)

• Perform basic accounting procedures (such as accounts receivable, accounts payable, recording deposits).

• Utilize the QuickBooks Online account to categorize income and expense transactions,

• Prepare financial statements (such as monthly and quarterly financial reports, and other reports as needed).

• Reconcile general ledger accounts, monthly accounts, investments, and credit card statements and make the necessary and appropriate journal entries.

• Work with office staff to record checks sent to PSI, categorize, and make bank deposits.

• Enter bills due in QuickBooks and pay bills on time through online banking.

• Collect W-9’s and contracts as needed.

• Create and manage invoices in QuickBooks, communicating with customers to address any past due invoices;

• Process credit card payments received through order forms and at events.

• Be attuned to fundraising needs: e.g., handling and identifying restricted donations; acknowledgements

• Process returned checks and adjustments.

• Provide other accounting assistance and support as requested.

• Help manage accounting for PSI Chapters to oversee requirements of fiscal agency and reporting.

• Maintain records of brokerage accounting (Vanguard), assist with transactions, and provide information to the Finance committee for financial planning.

• Assists in preparation of financial statements for accounting firms in preparation of tax reports.

• Help create and monitor budgets and reports for grants and projects as needed.

• Works closely with the Executive Director, Treasurer and other board committees in preparation of the annual budget.

• Provides information as requested from time-to-time by the Executive Director and the Finance committee.

Work with CRM systems – NeonCRM & Causevox:

• Data entry for checks received, including contact details and transaction data for donations, membership, events, and merchandise orders.

• Checking in with staff when more information is needed on a transaction before entering into CRM.

• Generate and mail paper receipts when needed.

• Weekly sync of data from CRM to QuickBooks. Working with ED and CRM Manager on data mapping and procedures.

Contracted Project (National Maternal Mental Health Hotline)

• Ensure accurate project financial tracking, recording, reporting, and compliance.

• Discuss project financial performance with the Executive Director and Hotline Project Director in organized meetings and through frequent updates.

• Monitor project “burn rate” against the total award budget and against the work plan budget; assuring appropriate explanations for variances on budget versus expenditure reports and notify the Project Director of any financial issues and to surveillance actual expenses against the toward award budget.

• Prepare and submit monthly federal reporting and invoicing for the project financial and technical efforts.

• Develop, prepare, and distribute monthly reports on variances to project financial requirements for leadership; providing financial information about the project to prepare reports including but not limited to the annual, final, and ad hoc reports as required by the contract officers.

• Support the development of standard operating procedures and processes to strengthen the financial management of the project.

• Analyze financial activities from purchasing, contract terms, and vendor invoices against the project budget. Provide reconciliation guidance and recommendations.

• Support the development of the annual project budget preparation; coordinating with the leadership team preparation and submission to the funding organization.

• Evaluate and maintain information and accurate data for compliance requirements and internal reporting needs. Collaborates with internal and external customers to ensure documentation is accurate and meets expectations.

Overall Minimum Qualifications:

• Bachelor’s Degree in Accounting, Finance, Administration, or related field.

• 5 years contract management and administration experience.

• 3 years of strong experience in accounting and financial management of U.S. government contracts and regulatory compliance. Experience with HRSA contracts a plus.

• Not-for-profit accounting experience.

• Experience managing contract budget, monitoring and evaluation.

• Knowledge of U.S. generally accepted accounting principles (GAAP) and financial accounting standards.

• Proficiency in financial and computer software particularly Microsoft Excel, Google Drive, and QuickBooks.

• Ability to identify and meet goals, objectives, outcomes, and timelines within broad parameters and to work independently of direct supervision.

• Ability to soundly interpret and apply regulations and procedures.

• Ability to collect, organize, analyze, and process information accurately, quickly and efficiently and to promptly respond to internal and external requests for information and assistance.
