Philadelphia Integrative Medicine seeks a Practice Manager who reports directly to CEO. This manager is aware of all aspects of the clinic with the goal of financial health and overall efficiency. The Practice Manager co-creates a healing environment for patients and a collaborative, learning environment for our healthcare providers, admin staff and clinicians who train with or do retreats with us. PIM’s Business Administrator reports to the Practice Manager.
Philadelphia Integrative Medicine (PIM) is a hybrid telehealth and in-person integrative medicine practice in Wayne, PA. We aim to empower, inspire change and create trust with patients. We integrate the best of conventional and complementary medicine to give the tools to be well. Requirements:
- College degree or equivalent
- 40 hours per week
- Experience as a clinical practice manager
- Lives within commuting distance
Desired qualities:

- Excellent computer skills including electronic medical record (EMR)
- Demonstrated strong leadership, communication skills, and mature emotional intelligence
- Demonstrated financial skills including budget, budget variance analysis, and action plans
- Manage day to day needs and have long term vision
- A minimum of 3 years of leadership or management experience in a medical office preferred
Practice Manager Job Responsibilities:
- Able to fully and effectively manage the clinic and PIM programs in alignment with our mission and goals
- Prepares annual goals, objectives, and budgets for operations; quarterly analysis
- Mentoring and skills training provided
- Responsible for clinic growth and expansion of provider staff
- Stays abreast of finances by working closely with PIM financial experts (SCORE mentor, accountant, bookkeeper, financial advisor)
- Banking to include credit card processing, audits, and other needs
- 401K Oversight
- Human Resources
- Responsible for managing PIM staff
- Ensures high PIM whole staff team morale
- Clarify job descriptions and has a system to ongoingly match staff to the correct roles according to each team members strengths and weaknesses
- Supervises Marketing lead
- Updated marketing plan with leadership approved goals, timeline and regular updates
- Provider Support
- Identifies and responds to provider needs
- Oversees management of supplement, lab, test kit companies
- Oversees that owner and team have the marketing, admin and technical support so PIM programs are successfully planned and launched
- IT Oversight/Liaison
- Oversee monitoring of staff compliance with software updates and IT recommendations
- Communicates trusted experts to meet the needs of the practice including but not limited to:
- Oversees
- coordination of computer set up for new hires
- Cataloging all IT equipment and coordinate updates and repairs
- Monthly backup of systems onto our hard drive
- Administration and problem solving of electronic medical record
- SquareSpace online appointment scheduling
- Ensures compliance with all regulatory and licensing requirements.
- Maintenance of provider professional licensing and continuing education
- Maintenance of business licenses, lease agreements
- PIM seeks to remain up to date as telemedicine regulations evolve, as well as to stay in compliance with medical licensing and malpractice regulations
- Practice Manager identifies strategies and practices to help PIM anticipate changes; we will provide a template strategy to start as well as detailed support every step of the way until Practice Manager feels comfortable operating more independently
- Invite research and collaboration with similar clinics to ensure best practices
- Other duties as assigned
Payment and Benefits:
- Compensation: $58,000-60,000 per year
- Promotions are considered at least annually
- Health care through PIM appointments. No health insurance is provided
- Eligible to participate in a 401k after a year of service
