This global and hybrid role sits in the Asset Servicing Technology Servicing and Solutions Business Management Function and also supports an Executive Vice President.
We are seeking a highly organized and detail-oriented individual to join our team as a Senior Administrative Assistant. In this role, you will provide comprehensive administrative support to an executive, ensuring the smooth operation of daily activities. Your exceptional multitasking abilities, excellent communication skills, and advanced knowledge of administrative procedures will be essential in effectively coordinating office operations and facilitating efficient workflow.
This role is suitable for somebody who enjoys working in a dynamic function across a multiple range of diverse initiatives. The candidate must be comfortable interacting with a wide range of stakeholders across all areas of the bank.

Responsibilities:
Executive Support: Provide high-level administrative assistance including calendar management, scheduling appointments and organizing meetings.
Office Coordination: Oversee the day-to-day administrative operations of the office, ensuring efficient workflow and adherence to policies and procedures.
Risk Management:
• Develop and implement business continuity plans and ensure that critical functions and operations can be maintained in the event of disruptions.
• Conduct the Risk and Control Self Assessments (RCSAs) to ensure a thorough review and evaluations of all operations, interdependencies and compliance.
• Maintain accurate and up to date records of business continuity plans, risk assessments, control frameworks and related documentation.
Onboarding:
• Managing and completing client customization requests to onboard new clients
• Onboarding of senior management partners including required equipment
• Organizing new joiner roundtables and events to promote partner engagement
Expense Management: Manage the business expense project approvals and invoice payments for vendors.
Travel Arrangements: Arrange travel itineraries, including flights, accommodations, and ground transportation, for an executive.
Meeting Coordination: Coordinate and schedule meetings, prepare meeting agendas, take minutes, and distribute relevant documentation.
Communication: Act as a liaison between executives, internal teams, external stakeholders, and clients, handling inquiries, relaying messages, and maintaining professional correspondence.
Project Assistance: Provide support to various projects, including research, data collection, analysis, and coordination of resources.
Training and Supervision: Mentor and train junior partners, providing guidance and support in their daily tasks.
Confidentiality: Handle sensitive and confidential information with utmost discretion, maintaining confidentiality and integrity at all times.
The successful candidate will benefit from having /Requirements:
Experience: Strong experience as an administrative assistant or in a similar role, preferably in a senior or executive-level capacity.
Education: Bachelor’s degree in business administration or a related field is preferred, but equivalent work experience will be considered.
Organizational Skills: Proven ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
Communication Skills: Excellent written and verbal communication skills, with the ability to effectively interact with individuals at all levels.
Attention to Detail: Strong attention to detail, ensuring accuracy in document preparation, data entry, and other administrative tasks.
Technical Proficiency: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook), with experience in document formatting and database management.
Problem-Solving: Demonstrated problem-solving skills and the ability to handle unexpected situations or changes in priorities with flexibility and composure.
Confidentiality: Understanding of the importance of maintaining confidentiality and handling sensitive information appropriately.
Adaptability: Willingness to adapt to new technologies, systems, and processes to improve efficiency and productivity.
Professionalism: Maintain a professional demeanor, exhibit a positive attitude, and display a high level of professionalism in all interactions.
