The National Center for State Courts is an independent, nonprofit court improvement organization located in Williamsburg, Virginia. NCSC’s services – research, information services, education, consulting, association management, and technical assistance – are focused on helping courts implement improvements that promote efficiency and effectiveness, while ensuring access to justice, timeliness, and procedural satisfaction.
The accounting specialist will function in a high-volume environment providing accounting and administrative support to the Accounting & Finance Office in fulfilling state licensing and business registration requirements and processing accounting and banking transactions essential to the effective accounting operations.
Duties and Responsibilities:
Specific duties and responsibilities include but may not be limited to the following:
Completing the final tasks in the accounts payable process by matching checks for signatures and distributing and filing documentation;
Preparing weekly bank deposits; keying and posting cash receipt transactions, PayPal credit card transactions, and ACH receipts;
Preparing state and local business license forms and initiating annual state solicitation registrations–secures signatures, fees, extensions, and maintains related documentation;
Maintaining fixed asset records and assisting with the compilation and completion of fixed asset records and depreciation schedule for the annual audit;
Providing clerical and administrative support for the accounting team, ordering supplies, scheduling meetings, and maintaining the Accounting Office records retention schedule;
Processing accounts payable and expense vouchers in absence of the Senior Accounting Specialist;
Assisting in the preparation of the annual financial statement audit and IRS Form 990; and
Managing a petty cash fund.
Minimum Qualifications:
To be considered for this position, candidates are required to possess the following qualifications.
A high school diploma or equivalent; or a combination of education and experience that demonstrates the ability to perform the duties of the position; some college or associates degree desirable;
A minimum of two years of progressively responsible experience in general accounting, accounts receivable or accounts payable;
Demonstrated ability to communicate effectively verbally and in writing and interacting with individuals internal and external to the organization;
Proficiency using MS Office Suite products (Outlook, Word, Excel); some experience using automated accounting systems helpful.
