LRD Lineage Redistribution Looking for Customer Care/Claims Representative, Mon-Fri, 8am start time, at Lombard, Illinois Full Time

Perform customer service duties such as processing customer orders, tracking product availability, and handling any issues on customer inquiries in a timely manner. Ensure key performance indicators (KPI’s) of each customer are met.

Primary Duties and Responsibilities include the following:

• Research daily customer claim submissions via E-mail
• Enter and Track Claim progress within Excel Tracking Spreadsheet
• Generate invoices for filed claims and potential additional billings related to recapturing losses that are driven by actions of vendors or customers.
• Primary focal point of communication between warehousing, customer DC’s and other internal departments.
• Interact with accounts receivable, Customer Distribution Centers, Lineage Warehouse teams, Various Suppliers, and Customer accounts payable teams to ensure Claims are addressed timely and accounted for.
• Submit Cycle count requests to warehouses to determine validity of customer claims.
• Upload supporting claim information into an online document repository.

Additional Duties and Responsibilities include: (Other duties may be assigned)

• Present to Redistribution management team what portion of expense is related to inventory over/short, Damages, when short payments from customers occur.
• Monitor & research Customer claims and report to Redi management team what transactions drive the G/L activity. Expedites all deliveries with carriers/suppliers to avoid shortages.
• Work with Account managers to identify claims related to customer pricing on items or Freight charges.
• Recommend changes & improvements in procedures to reduce Customer Claims Expense and improve controls for Processing Customer Claims
• Continuously update and use customer resource folder with contact information and changes to our customer’s data.
• Assist Account Managers that are in need of charging Conceptual Customers with invoicing and recouping losses.
• Assist A/P/Inventory team for appropriate debit memos against vendors when inventory control has identified short deliveries or damages

Education/Experience:

College degree; or three to five years related experience and/or training; or equivalent combination of education and experience.

Language Ability:

Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability:

Ability to calculate figures and amounts such as discounts, interest, commissions, Claim totals, and percentages. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Office software and strong Excel capabilities. Any experience with WMS software or Sage ERP system would be very beneficial. Ability to research data based on claim information provided.

Supervisory Responsibilities:

This job has no supervisory responsibilities but will provide guidance to multiple departments within the organization.

Organization Skills:

Strong organization skills are necessary as claims need resolution within 72 hours of claim submission. Good Follow-up protocol is required to prevent specific claims from expiring past the window for completion.

Communication Skills:

High levels of communication using E-mail correspondence and Phone calls to resolve customer claims.
