Job Overview:
The Portfolio Financial Analyst will be a key member of our portfolio execution team to ensure the financial investments are managed, accounted and forecasted accurately. This position will report to the IT Portfolio Manager (aligned by IT VP), although, the daily activity will be managed/heavily influenced by the managed service provider Team Lead. The portfolio financial analyst will also be dotted line report to the IT €“ Finance Team to ensure alignment to Company Financial policies. The main purpose of this role is to support and provide financial guidance to the Project Leads/Project Managers/Portfolio Financial team, including alignment and preparation of project budgets/forecasting, project financial open/close processes including labor recovery, accruals and timely closure of the projects upon completion (including Fixed Asset capital asset documents required within 60 days of go-live in compliance with the KDP capital policy).
This position will contribute greatly to the standardization and improvement of processes, tools and training and participate in continual process improvement across the Portfolio with the managed service provider Team Lead who will gain consensus and compile the teams input and recommend any process improvements. Improvements will be aligned with KDP Financial Policies, while identifying risks and opportunities to ensure discussion of implications and financial commitments/targets are met and/or exceeded.
Accountabilities:-
Ensure timely, accurate and complete financials are managed and reported across portfolio of assigned projects.
Assist in Detailed Budget Sheet submitted as part of the Stage Gate Process €“ as part of the initial Project Funding ‘CAR’ process (Capital Appropriation Request) €“ as requested by Portfolio Manager €“ to ensure understanding & completeness of the Project Lead’s proposed budget.
Partner & communicate with Project Leads/PM’s to accurately maintain original project budgets and forecasts via standardized, Excel project tracker. Maintain tight, effective communication with Project Leads to stay aware of changes with project execution that:
Impact financial forecasts, staffing impacts €“ both internal & external, create & submit Purchase Requisitions for PM approved work as it arises, partnering with Procurement Team. Administer prompt Goods Receipts for all work as completed to ensure payments processed with no delay.
Perform monthly or quarterly accruals as required (by the size of the project), as well as year-end accruals on all projects adhering to financial timelines and policy.
Perform monthly reconciliation of actuals in various systems of record (SAP/Ariba/Planview) & balances to the project tracker, identifying any variances to expectations to continually inform/improve forecast accuracy.
Align with Project Lead & project timely forecast by Day 5 in Planview; assist Project Lead with forecast accuracy based on evolving project assumptions; coordinate/align with project lead to ensure any quarterly actual versus forecast variance explanations are identified/categorized.
Create & review capital expenditure sheets within 30 days after project is complete €“ in line with Capital Team Guidelines with partnership of the Project Lead. (Cap Policy requires submission NLT 60 days of Go Live)
Kick off/document the timely, closure of projects: release/close outstanding PO’s & various cost collectors (IO’s & WBS’s), place final financial tracker on agreed Team site with the above final capital asset documents €“ once fully communicated/reviewed with the Project Lead.
With guidance from this role, underlined accountabilities above will have vendor ‘managed service team members’ to assist/support these activities following the new project accounting support model.
Other Key Related Activities:-
Strive to automate and improve process within the time tracking tool and ensure Accounting is provided with the weekly information by person.
Partner with IT PMO/Finance/Procurement & Accounts Payable Teams to do the following:
o Maintain / outline future on-going costs within your project tracker for all prepaid/committed annual expense within your project tracker (eg. Mainly maintenance agreements & hosting/cloud consumption costs). This will not be complete as all ongoing costs of the project are not tracked & part of the Cost to Achieve (CTA) project budget.
o Further guidance of any KDP Financial Policy Updates can be reviewed and validated with IT Finance. (Connection with Standards & accounting treatment)
o Participate/provide guidance in monthly & year-end close activities (accruals and journal entries) across both Legacy financial calendars to including internal labor recovery.
Inspect &/or resolve issues with: Accounts Payable Team for IR’s (Invoice Receipt) posted in Esker/SAP or other various posting discrepancies
Requirements:
Analytical position requiring either:
Bachelor’s degree in Accounting, Finance or Business Management (CPA a plus)
Minimum 4-6 years of business experience; accounting experience in IT areas such as project/fixed asset accounting, and/or experience in telecom/data transfer, and cloud/server management is a plus.
Strong analytical skills and full proficiency of Excel skills and data mining/pivots are a must.
Heavy desire to work toward continual processes improvement for efficiency.
Strong leadership skills
SAP experience preferred
Ability to effectively manage multiple priorities
