Office Manager

Responsible for the administration and execution of varied office tasks and assisting our Business Coordinator. Tasks include maintaining office services with organized office operations and procedures, preparing payroll, creating meeting agendas, maintaining filing systems, reviewing and accurately entering data for accounting and HR purposes, as well as perform various clerical functions. Responsibilities

• Prepare agendas and help coordinate a variety of internal/external meetings/events (local, off site or by video conferencing).
• Documentation: organize any needed material in advance of the meetings; maintain files/record keeping systems and confidential files.
• Work hand in hand with the owners, Business Coordinator and office team as needed.
• Prepare draft memorandums, policies and procedures, training materials, checklists, and company employee handbook.
• Input required information into Quickbooks and BuilderTrend as required
• Preparation of payroll
• Accounts Payable and Accounts Receivable
• Establish and maintain digital and physical systems to organize and manage details to ensure accuracy in all aspects.
• Provide general administrative support: typing, telephone support, mail, copying, faxing, filing, calendar functions, email distribution lists, maintaining marketing and any other databases as instructed from time to time. (Mailchimp, Constant Contact, mass emails, etc.).
• Create and utilize Excel spreadsheets
• Relies on experience and judgment to plan and accomplish goals.

Qualifications

• 5+ years Quickbooks experience
• Excellent computer skills including a high degree of proficiency in Microsoft Office, especially in Word and Excel, and Google Drive, Docs Gmail and Sheets.
• General accounting knowledge of accounts receivables and accounts payables
• Able to multitask in a service-oriented environment.
• Team player yet able to work independently, with demonstrated ability to be flexible, responsive, and to take initiative.
• Demonstrate strong interpersonal skills – able to work effectively with all levels of staff.
• Positive attitude and willingness to help others and convey a strong positive personal and professional image with excellent standards of professional behavior and ethics.
• Exceptional organizational skills, ability to set priorities, display attention to details and are tenacious with follow-ups.
• Excellent oral and written communication skills in English.
• Consistently handle situations with tact, maturity, and patience, and able to work well under pressure.
• Highly motivated, energetic, and resourceful.
• Strong customer service oriented; responds to customers’ needs with a sense of urgency, and with a “How can I help” mindset.
• Ability to exercise judgment in managing confidential or sensitive information

Salary and Benefits:

Full time

$22.50-27.50 per Hour
