Job Summary:
This position is responsible for all payroll functions to assure accuracy, timely completion and compliance with divisional and corporate policies, procedures and state regulations. The successful candidate will process and review the bi-weekly payroll and timesheets, calculate and maintain control totals to assure correctness of bi-weekly payrolls as well as weekly, quarterly, and annual payroll reports. The role supervises scheduling for payroll and labor data entry and maintains the records used to determine pay eligibility for days off. In addition, this position will issue manual payroll checks for non-standard payments, review status changes for proper classification and investigate and identify labor variances. Reconcile withheld taxes and gross earnings for quarterly tax reporting and annual W-2 processing for the US divisions.
Qualifications
Minimum 7 years payroll processing experience, preferably in a public, non-union, mid to large size company
APA CPP or equivalent certification required
Experience with Ultimate Software – UltiPro required
Experience with multi-state, multi-company payroll processing particularly CA
Proven background dealing with state and federal tax agencies to open/close, update accounts
Superior organization and follow-through skills
Excellent verbal and written communication ability

Responsibilities
Payroll Administration
Ensure payroll is processed accurately to comply with divisional, corporate and government policies and procedures
Responsible for all or most aspects of payroll cycle for at least 8 multi-state, separate, biweekly payrolls for U.S. based companies (approximately 160 active employees, including hourly office staff) including planning, processing, reporting, auditing, compliance, record keeping, year-end reconciliation etc.
Timely, accurate submission of payroll tax and labor reports
Maintain calendar indicating scheduled pay dates, pay increase dates and eligibility dates for benefits programs
Communicate with employees about direct deposit, savings options, paycheck questions, variances
Calculate employee time worked, production, commission, bonus, other pay and other deductions from pay. Prepare employee deductions for each payroll
Liaise with managers to identify discrepancies regarding authorized overtime, shift differentials or reasons for absences either paid or unpaid
Monitor employee/manager entries of any required changes to employee information such as pay rates, salaries, change of address, withholding or regular deductions; ensure correct posting to UltiPro
Audit payroll reports to ensure changes were made and payroll is accurate before it is finalized; audit payroll register after processing
Interpret company policies and government regulations affecting payroll procedures.
Assist with preparation of government reports
Receives and processes child support deductions, garnishments and request checks for appropriate recipients of these funds
Monitor and maintain attendance and time records online
Prepare manual payroll checks as necessary
Coordinate reporting of 3rd party sick pay
Responsible for maintaining and reporting weekly hours for temporary staff to staffing companies
Follow-through with new hire and termination procedures, collect appropriate forms and notifications
Maintain HR department employee records including data entry, reporting, required pay notifications and filing
Maintain company state and federal tax records; liaise with UltiPro Tax Service and tax agencies to resolve issues, apply for and close or update tax accounts as needed
Audit, update and maintain payroll deduction code taxability with required legal changes in UltiPro system
Provide employees front line communication, training and assistance with HR website access and change procedures
Liaise with internal finance departments in US & Canada for payroll funding, auditing, reconciliation and reporting
Represent the department to provide records/reports during all internal and external audit procedures
General
Assist in general HR department projects as needed
Assist with data entry of master file changes in UltiPro
