Job Profile and Description:
We are looking for a talented, energic, and highly motivated individual to join our team. Working with our Senior Financial Director and with an outsourced accounting team. The Contract Analyst II will be responsible for overseeing contracts to ensure that ETC is compliant with all contract terms, including that all spending is appropriate and consistent with contract terms. They will carefully and diligently monitor contract performance and identify emerging trends that may require action planning to cost correct. In addition, they will work closely with Senior Finance Director and Development team to create and develop budgets that will accompany contracts. In addition, they are expected to troubleshoot and solve problems and misunderstandings that may take place. The Contracts Analyst II will play a very important role in the Finance Department to ensure that contract invoice reimbursements are timely and accurately prepared and submitted monthly, that there is follow-up to ensure payments are received timely, and that contracts are optimized to spend down completely. This person will report directly to the Senior Finance Director.
Responsibilities:
· Work closely with Senior Finance Director and other team members to best support contract management
· Work closely with our outsourced finance team and monitor contract budgets to ensure that reimbursements are submitted timely, and that spending is allowable and consistent with contract terms.
· Maintain contract tracking schedules for all contracts and distribute regularly.
· Create and maintain summary template for each contract that provides key and pertinent data about each contract.
· Maintain detailed, organized file histories for each contract in Development Drive.
· Support Program staff to properly manage contract spending and documentation.
· Bring to attention of Senior Finance Director concerns about over/underspending and provide recommendations on how to best address.
· Track important deadlines such as budget mod requests, no cost extension requests, etc.
· Prepare budget modifications, no cost extension and loan documents as required.
· Coordinate meetings with Program managers to discuss status of budget line spending (Expense Reports) and action planning necessary for maximizing budgets.
· Maintains contract documents and related materials in an orderly and organized manner in a file directory (Dropbox, vic.ai and/or Expensify).
· Assist with reporting and ad hoc information required by funders.
· Assist in the monthly/quarterly financial statements preparation.
· Support the organization in preparing for the annual organizational audit
· Collaborate with HR to review salary allocations to help ensure that proper allocations are charged to each contract.
· Work with funders to troubleshoot and solve issues with reimbursement claims and disallowances.
· Establish relationships with funders (namely fiscal counterparts).
· Provide anticipated reimbursement data to Senior Finance Director to assist in cash flow planning.
· Attends all meetings, retreats, committee meetings, and any other mandatory organization-wide meetings.
· Works on other assignments and/or projects as needed/assigned.
Minimum Qualifications:
· Bachelors’ degree, preferably in Finance, Accounting, or Statistics.
· Minimum of 4 years’ experience in contracts and/or grants management.
· Strong knowledge of Microsoft Office products, specifically Excel, Word, and PowerPoint.
· Strong verbal, written, communication and documenting skills.
· Must be highly organized, detail oriented, and zealous of meeting deadlines.
· Must be a self-starter, quick learner, assertive, and work independently
· Ability to prioritize, multi-task, and work in a fast-paced environment.
· Must be able to work some weekends and evenings, if necessary.
Travel Requirements: Will require occasional travel to other program operation locations within New York City and upstate New York (Newburgh and Poughkeepsie). Main site: 2271 3rd Ave., New York, NY
Other Requirements: Candidates must be able to safely: climb two flights of stairs, lift up to 15 pounds at times, work for prolonged periods sitting at a desk and working on a computer. Compensation: The salary range is $75k – $80k, commensurate with experience. Excellent benefits including competitive medical, vision, and dental care; 403(b) retirement plan, 15 days
