Overview of Role:
This full-time position will work in the ET Houston, TX location providing administrative services and HR support for all offices with an emphasis on office management, corporate compliance, and customer service. This position will provide administrative support to ensure the efficient operation of the office, maintain an organized office environment, and perform routine administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files and providing information to visitors and callers. A qualified candidate should also have possess some HR skills and proven ability to maintain personnel confidentiality.
Major Administrative / Office Management Areas of Responsibility:
Customer and personal service as the first point of contact in person and by phone
Mail / shipping processing
Ordering and maintaining office supplies and promotional materials
Making travel arrangements
Typing and reviewing internal and external correspondence
Tracking and maintaining corporate business licenses
Making meeting arrangements
Maintaining physical and electronic filing systems
Maintaining event calendars
Completing expense reports
Operating office equipment and communication systems and arranging for maintenance or repairs when necessary
Extensive use of electronic mail to maintain and coordinate the flow of internal and external communication
Liaison between staff and President and other Executive Team Members as necessary
Other duties as required
Desired Qualifications / Skills:
High School, GED, or other High School Equivalence Certificate; Associate’s Degree or other 2-year degree; College Degree (preferred)
Experience in construction industry preferred
Minimum three years experience in office management duties
Experience in basic HR skills and professional interaction with personnel
Strong command of the English language including spelling, composition, and grammar
Deep knowledge of Microsoft Office suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint), Adobe Acrobat Pro
Web-based program knowledge is desired but not required (Smartsheet, Procore)
Effective communication skills including oral, written, and electronic communication
Active listening, giving full attention to what others are saying, asking appropriate clarification questions
Acute attention to detail is critical
Exceptional organization and follow up
Willingness to learn new systems
Sound decision making and critical thinking
Strong self-motivation and time management
Professionalism in accordance with conducting business in a national corporate setting
