As a Human Resources and Finance Assistant, you will play a crucial role in supporting the HR and finance departments of the Firm. This dual-role position involves a variety of tasks related to personnel, financial record-keeping, and administrative responsibilities. Your ability to handle sensitive information, work with data, socialize Firm initiatives and maintain a high level of organizational efficiency is essential for success in this role.
Job duties include but are not limited to the following:
Human Resources
Help facilitate new employee onboarding and orientation
Help facilitate with offboarding
Handle routine HR administrative tasks, such as processing HR-related documents and maintaining employee files
Support the HR team in organizing training and development programs
Provide general administrative support, including managing inventory for new hire supplies, scheduling meetings, and handling phone and email inquiries.
Maintain confidentiality of sensitive HR and financial information
Willingness to reach out to manager/leadership to obtain alternative viewpoint/suggestion where applicable
Assist Director of Operations with ongoing Firm projects
Assist with auditing Insurance Invoices to confirm accuracy
Attend recruiting events to promote Firm initiatives and attract new talent
Finance
Assist in maintaining financial records, including invoices and expense reports
Run statements for clients with outstanding Accounts Receivables
Make/receive phone calls with clients to collect unpaid balances
Social Media
Develop and curate high-quality content, including text, images, and videos, for social media platforms both internally and externally
Tailor content to suit different platforms and target demographics.
Foster a positive and interactive online environment.
Stay updated with industry trends, competitor strategies, and changes in social media algorithms
Coordinate with the marketing and HR to align social media efforts with broader Firm strategies.
Track and analyze social media performance metrics using tools like Google Analytics, Facebook Insights, or social media management software.
Qualifications and Skills:
A bachelor’s degree in Human Resources, Finance, Business Administration, or a related field is preferred.
Prior experience in a similar HR, finance support, or Administrative Assistant role is advantageous but not always required for entry-level positions.
Familiarity with HR and financial software is a plus.
Proficient working knowledge in recruiting, Human Resources and Firm operations with social media applications
Strong organization skills to maintain and file sensitive documentation
Capability to be creativity and proactive in order to maintain a social media presence for the purpose of driving recruiting goals and promoting the culture of the Firm
Ability to communicate through phone calls and emails clearly and concisely
Comfortable making collection calls
Open to feedback and willing to improve when necessary.
Able to multitask and prioritize
Excellent communication skills, and flexibility to work with both within the Firm and outside of it.
Excellent customer service skills, and flexibility to deal with professionals both within the Firm, associate Companies and outside of it
Strong time management skills
Ability to work collaboratively as a team as well as the capability to complete tasks independently
Ability to handle confidential information, and to adhere to the Firm’s protocols.
Keep records of all documents and ensure they are being properly stored according to the Firm’s guidelines
Working fluency in the Microsoft Office Suite, especially with Excel, and Outlook.
