What You’ll Do as Our Office Manager / Executive Assistant
As our Office Manager / Executive Assistant, you are a key member of our operations team and also act as an Executive Assistant to support the CEO and Vice Presidents with a variety of administrative activities. You manage calendars for two members of the leadership team and partner with leadership to track key project milestones. You also manage the office calendar, administer various company programs, and book travel as well as plan company events and retreats. And, you get to assist with onboarding new employees.
You keep track of and order all office supplies, including personal protective equipment (PPE). For meetings, you handle the scheduling, prep materials, prepare agendas, and take meeting notes. You ensure timely communications and the proper handling of confidential information. As the first point of contact for office vendors, repair professionals, and, really, anyone who comes into the office, you are a warm, welcoming, and professional presence. You always embody our company culture and values.
But, really, it’s not what you do but how you do it. You see what needs to be done and get it done. Leveraging your exceptional organizational skills, you make recommendations for administrative project management as well as process and system improvements. In fact, you take the lead on various projects to implement new systems, processes, or programs. Supporting our business priorities, you manage the office budget. You take pride in ensuring that the office is an efficient, clean, and organized space for everyone!
Experience and Skills You’ll Need as Our Office Manager / Executive Assistant
3-5 years of experience as an administrative assistant or office manager, preferably working for more than one manager
Proficiency with Google Workspace (G Suite)
Extraordinary project management skills
A strong sense of hospitality
Are you highly organized and able to effectively prioritize multiple tasks? Do you have strong communication skills, both written and verbal? Are you attentive to detail? Are you driven to take initiative and improve on existing processes? Can you identify gaps in operations and take the lead in making things better? Are you always happy to help others?
