Administrative Assistant at Cushing Terrell:
Cushing Terrell is seeking an Administrative Assistant with 2-5 years of experience to join our main office in Billing Montana. You will join a diverse team in a warm, welcoming, creativity-driven environment that values collaboration and a forward-thinking attitude.
As an Administrative Assistant at Cushing Terrell, you will have a unique opportunity to work with diverse professionals across our company. You will carry out duties that are crucial to the operation of our organization. You will be tasked with being highly organized and detailed oriented, using your knowledge of Microsoft Office programs, specifications, and a dash of ingenuity to help project teams. Successful candidates will be excited about learning new areas, taking on more responsibility, and most importantly, having a can-do attitude.
What we expect you can bring to the table:
Education: An Associate’s degree or higher in related business fields
Experience: 2+ years of experience or more in the Architecture Engineering industry, or related field
Software: Microsoft Office Suite, Bluebeam, Outlook, Specifications Software such as e-SPECS or SpecLink, Construction Administration Software such as Procore
Core knowledge: Needs to have a working knowledge of architecture, engineering and/or and construction administration and solid word processing skills.
High level of collaboration and communication with other team members.
Provide a pleasant welcome for guests and team, in person, by phone or written correspondence.
Essential Functions:
May distribute and receive plans, shop drawings, specifications and/or addenda and administers related deposits.
Produces, assembles, and reviews for accuracy specifications, addendums, reports, meeting minutes, etc.
May assist with accounting and take actions within guidelines provided.
Client/Contractor/Project Correspondence.
Coordinate with office managers to ensure building maintenance.
Maintain document library and storage.
Set up, invite, and attend meetings, setup virtual meetings for conferences.
Coordinates schedules and makes team travel arrangements.
Send, receive, process, and distribute mail and deliverables.
Assists all teams as needed.
Procure supplies and equipment as needed.
Scanning and printing of plans.
Produce various job specific reports, spreadsheets and documents as requested by Project Managers (Change Orders, , Requests for Information, Proposal Requests, change directives, field reports, meeting minutes, punch lists, other).
Physical: Indoor Working conditions, Sedentary, sitting for long periods of time working on computer and answering phones. Occasionally be able to lift up to 50 lbs.
Office hours typically are 8:00 a.m. to 5:00 p.m.; some overtime may be required.
