Position Summary
Reporting to the Associate Provost for Inclusive Pathways, the Associate Director of Finance and Operations is responsible for the overall financial and operational management of the Office of the Vice Provost for Faculty Advancement (OVPFA).
The Associate Director will develop and administer OVPFA’s overall operating budget; oversee transactional aspects of OVPFA’s finances, including accounting and reconciliation, and lead contract negotiations with vendors for OVPFA.
The Associate Director will serve as a critical member of the OVPFA team, which aims to promote a climate of inclusive excellence at Columbia University.
Responsibilities
Finance and Operations
Manage financial operations, including oversight of all financial reporting, variance analyses, and compliance reports. Responsible for the integrity of the financial data for OVPFA. Remain abreast of changes to financial systems and processes centrally and implement changes where required. Maintain close collaboration with finance colleagues within the Office of the Provost.
Lead responsibility for creating long-term budget projections, modeling, and forecasting for all projects managed in the Office of the Vice Provost for Faculty Advancement. Collaborate with the Provost’s Office finance team on the management of grant fund transfers and office budget.
Identify opportunities for process improvement and create policies and procedures to streamline services using all finance information systems at the University.
Manage all vendor agreements, and payments, and streamline billing/collections. Ensure that all facilities, information technology, and related requests are handled seamlessly.
Serve as primary contact with CUIT and other IT partners (including 3rd party vendors) to develop critical IT solutions when required. Collaborate with CUIT on the ongoing assessment of business processes, program applications, and data security.
Program Administration
Lead responsibility for the management of the Faculty Diversity Initiative’s budget and programs, including preparing the diversity initiative RFPs for release to deans; directly replying to inquiries from faculty members and administrators; organizing the proposal review process; directly responding to requests from the Provost and Vice Provost for Faculty Advancement for iterations on spreadsheets of proposals received and recommended for funding; creating budget projections for various funding scenarios; drafting correspondence to faculty awardees and those faculty whose proposals are not funded; preparing formal grant award documents, and working with Provost’s Office staff on the public announcement of awardees.
Performs related duties as assigned.
Minimum Qualifications
Bachelor’s degree required. Advanced degree desirable. Minimum 4-6 years of related experience required; preferably in Higher Education. Demonstrated experience in diversity, equity, and inclusion.
A demonstrated track record of project and financial management. Highly skilled in working directly with the leadership of complex organizational structures.
Excellent interpersonal, oral, and written communication skills, including active listening, attention to detail, and working closely and effectively with a diverse group of University administrators, are essential.
