Manager of Finance and Administration
The Colorado Oil & Gas Association (COGA) is seeking a Manager of Finance and Administration who will report directly to the Chief Executive Officer and direct COGA’s financial management, board administration and business operations. This person will be responsible for budget development and all aspects of financial oversight and compliance, ensuring transparency and clarity for COGA staff and board. This individual will be the lead on board administration and governance, assuring proper processes and procedures are implemented and in compliance with best practices of nonprofit management. As the manager of business operations, this person will oversee day-to-day office management, including all building-related matters, maintaining appropriate records and policies, and serving as internal lead on all information technology and human resource functions. This position will work across disciplines at COGA to support staff’s various communications needs.
Financial Management
· Working with the COGA management and Board Finance Committee, develop organization annual budget. Monitor budget throughout the year and provide regular reports to staff and board.
· Manage monthly financials and reporting to COGA Board, including maintaining dashboard reflecting budget to actuals, year to date progress and noting significant variations and updates.
· Staff COGA Finance Committee, including working with COGA Treasurer to develop annual work plan for quarterly meetings, meeting agendas and developing materials and reports.
· Work with staff and contract accountant for processing payables and deposits, ensuring quality control of accounting records, accurate coding and prompt delivery of deposits and payments.
· Provide oversight to overall financial management, including establishing and monitoring statements and activities for COGA, investment accounts and subsidiaries which include several political accounts.
· Work with CPA and contract accountant for processing annual tax returns, including the 990.
· Work with contract accountant and payroll services to ensure payroll is processed accurately. Assist staff as needed with payroll and paid time off inquiries.
Board Administration
· Work with CEO on monthly board administration, including developing and vetting monthly agendas, compiling monthly materials and distributing board packets, tracking board member attendance and recording meeting minutes.
· Serve as lead staff on maintaining and ensuring compliance with nonprofit board-related governance policies, such as conflict of interest, confidentiality, financial policies, organization bylaws and articles, and other key governance documents.
· Serve as lead staff to the COGA Board Nominating Committee, proactively tracking board vacancies and assisting the committee in recruiting and developing an active leadership pipeline for board leadership. Duties include developing the annual work plan for the Nominating Committee, developing quarterly meeting agendas and related materials and consulting with CEO on potential board candidates.
· Ensure compliance with specific activities contained in the COGA bylaws, including, but not limited to, the annual membership meeting and election of board members and officers.
Business Operations
· Serve as lead staff on general office management, securing office supplies and maintaining general inventory of necessities for efficient business operations. Serve as staff liaison to building HOA.
· Maintain office calendar and management of shared meeting rooms, assisting as needed in securing outside meeting space for COGA-led meetings and events.
· Maintain accurate records of all vendors and contractors providing professional services or supplies to the organization.
· Work with vendors directly associated with office operations, including contract IT support. Duties include maintaining agreements, maintaining equipment and serving as a primary liaison for staff support, ensuring that staff needs are met in a successful and timely manner.
· Provide support and facilitate necessary audits and reports for organizational policies, including workers compensation, general and property liability insurance and other standard policies required for operations.
· Maintain records necessary for business operations in Colorado, including records with the Secretary of State and other entities where licenses and renewals are required.
· Serve as primary staff liaison with contract HR services and support, including updates to employee handbook, policies and procedures, and ensuring compliance with current employment law. Work with COGA CEO to direct employee issues to HR contractors as needed.
· Coordinating annual performance review process for staff, working with supervisors to ensure all documents and processes are fulfilled in a timely and secure manner.
· Working with outside benefits provider, ensure annual benefits administration and enrollment is conducted successfully. Serve as liaison to benefits provider to assist staff with questions or needed support.
Qualifications and Core Competencies:
Required computer/technical skills:
· Proficient computer skills and experience with Microsoft Office suite (required);
· Experience with spreadsheets and databases (required); familiarity with QuickBooks or other general accounting software (preferred);
· Familiarity with web-based portals for managing bank accounts, sending and receiving secure documents, and other business operations.
Compensation and benefits:
The hiring range for the Manager of Finance and Administration will be $60,000 – $75,000 annually depending on qualifications, plus potential for annual bonus. In addition, full-time employees have access to company-sponsored benefits that include medical, dental and vision insurance; employer contributions to individual retirement plans; employer-paid parking or transit pass; reimbursements for personal cell phone use; and paid time off.
