Payroll Assistant

Administrative office of a large pediatric practice is seeking an experienced full-time Payroll Assistant to support the finance and payroll departments. Candidate must be highly self-motivated, able to work independently with advanced problem solving & research skills. Proficiency with excel is a must!

Duties

• Review and prepare the monthly benefit account invoices for payment and submit to Accounts Payable in a timely manner
• Bi-Weekly timesheet review & payroll processing
• Back up Director for monthly payroll processing
• Reconcile payroll activity in the benefit accounts against invoiced amounts and actively follow up on all reconciling items to resolution
• Download and reconcile leased payroll reports and process invoice for payment
• Prepare monthly summary benefit reconciliations
• Post payroll activity from payroll system to the general ledger, ensuring accurate GL posting
• Prepare annual workers compensation allocation for review by the Director of Finance
• Annually, assist in reconciliation of the payroll reports to the 401k reporting package for audit
• Reconcile the payroll bank account for review by the Director of Finance
• Prepare quarterly payroll reports
• Assist in the preparation of annual salary surveys
• Prepare the quarterly leave accruals
• Ensure all payroll documentation is scanned and filed for audit purposes
• Keep up to date on internal transfers, promotions and FTE changes within the company and with associated parties
• Assist Director of HR & Payroll with entry of cost of living and market increases into applicable systems
• Create new benefit reconciliation workbooks and update insurance rates as needed

Requirements

• at least 2 years experience as a Payroll Assistant or similar role
• Strong knowledge of payroll processes, regulations, and best practices
• Proficient in using accounting software & Excel
• Excellent attention to detail and accuracy in data entry and calculations
• Ability to handle sensitive and confidential information with integrity
• Strong analytical skills with the ability to identify and resolve issues
• Experience with general ledger reconciliation and financial auditing is a plus
