Byrncliff Golf Resort & Banquets is looking for an energetic and enthusiastic person with experience and a passion for the hotel industry to join our team!
Resort amenities include a 25 room hotel, a five bedroom guest house, an 18-hole golf course, full service restaurant, banquet facility, cross country ski trails and other winter activities. Byrncliff is a fun and friendly place to work!
SUMMARY
Coordinates front office activities of Byrncliff Golf Resort & Banquets, and resolves problems arising from guests’ complaints, reservations and room assignment activities, and unusual requests and inquires by performing the following duties personally or through subordinates.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Directly responsible for all Front Office Staff, which includes: Guest Service Agents (GSA’s).
Assigns duties and shifts to workers and observes performances to ensure adherence to hotel policies and established operating procedures.
Responsible for pro-actively managing room inventory to maximize revenue and available rooms. Determines when to discount rooms along with the Owners & Sales.
Supervises and assists the Front Desk Staff in the specific tasks of reservation management and room status controls to ensure maximum possible occupancy is achieved on a consistent basis.
Supervises and assists the Front Desk Staff in rendering the highest quality service when checking in and out guests. Taking appropriate action to respond to any guest complaints and maintains positive guest relations at all times.
Works with all shifts to reconcile end of shift reports to ensure accuracy of all postings. Verifies all deposits are accurate.
Prepares managers’ report to communicate availability, VIP’s and groups.
Personally greets VIP guests.
Ensures all policies, procedures, federal, state and local ordinances with regard to personnel, security, cash handling, and credit card processing PCI compliance, guest relations and safety are followed.
Ensures all shifts are sufficiently staffed & trained and is responsive to all guest needs in a professional manner.
Train all staff to up sell and to close all rental opportunities.
Communicate to all operational departments any changes in Resort occupancy via the Pickup report.
Ensures all staff is properly trained in the “Signature Programs”, policies and procedures as set by the hotel.
Follow up with audit and Owners suggestions and concerns.
Confers regularly with the Maintenance and Housekeeping departments to ensure maximum room potential.
Review all Travel Agents Commission (& OTA) reports and verify they are correct for payment, making any necessary changes. Review reservations made by travel agencies and verify requested commissions.
Must be on call and flexible to work any shift at any time. MOD (PIC) program rotational duties, Holiday rotational schedule.
Performs all other duties as assigned by management.
SUPERVISORY RESPONSIBILITIES
Directly supervises 1-4 employees in the Front Office. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interview, hiring, and training employees; planning, assigning and directing work; appraising performance (60 day and then 2x a year); rewarding and disciplining employees; addressing complaints and resolving problems.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Prefer two-four year business degree, Associate’s degree (AA) or equivalent from two-year college or technical school; and/or two years hotel front office management and/or two years’ experience supervising/managing Reservation Department or equivalent combination of education and experience. Must possess understanding of Microsoft Word and Excel. Knowledge of Resort PMS is a bonus, Excel use a must
COMMUNICATION SKILLS
Individual must possess excellent interpersonal skills and good oral and written command of English. Ability to effectively present and respond to guests and employees. Must produce a weekly agenda for the team and the owners, and then update it at the end of the week for owner’s files. Participate actively in weekly, monthly, and quarterly meetings.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, commissions etc. Individual must be detail oriented. Accuracy is a must. Must be computer literate.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of situations. Must use independent judgment and maintain discretion.
