HOURS:
Full-time, 37.5 hours per week
Monday – Friday, 9:00am – 5:30pm
Overview:
Reporting to the Vice President for Grants and Contracts, the Senior Contract and Project Manager oversees a portfolio of government and foundation grants and contracts; in addition, the Senior Contract and Project Manager works on special projects aimed at streamlining processes and developing tools for efficient financial management within the Grants and Contracts unit.
Responsibilities:
- Assist in pre-award activities including reading proposal guidelines; collect, compose, and/or prepare administrative components for proposal submissions; prepare applications, perform funding searches, develop and prepare funder budgets, and monitor regulatory compliance requirements.
- Perform post-award activities including account creation, regulatory compliance monitoring, salary and insurance allocation and level-of-effort reporting, materials order processing, invoice preparation, payment processing, cost center charges, cost transfers, grant projections, grant closing processes and account closing.
- Coordinate and ensures completion of monthly and annual reports. Prepare ad hoc financial reports and serve as a fiscal point of contact throughout the agency.
- Maintain contractual records and documentation such as receipt and control of the contract correspondence, subcontract information sheets, contractual changes, status reports and other documents for all projects.
- Work on all aspects of government contract audits including pre-audit preparation of requested documents, with active participation in the auditor’s site visit with follow up as needed.
- Ensure timely contract close-out, extension or renewal; modifications; and monitor transaction compliance (milestones, deliverables, invoicing etc.)
- In collaboration with VP of Contracts, present monthly budget to actual financials (Profit and Loss) and contract variations to senior Program staff, explaining details, cause and effect, etc., with a solutions-oriented approach.
- Work with Finance/Program management to ensure adherence to broader finance and risk requirements such as revenue recognition, pricing, discounting,
and bidding policies. Ability to understand/evaluate the economic impact of contractual terms is essential.
- Manage contract audits, validate site billings, and conduct audit of supporting documentation.
- Project Management duties include reviewing reporting processes and procedures and making recommendations for improvements, enhancements, and automation opportunities.
- Develop financial management tools/database to track annual contract budget to actuals.
- Ensure BRC is up-to date with funder system submission requirements
- Keep a database of funder systems, provide training to contract team members (and others as needed), and ensure that the contract team is up to date with all current and previous systems.
- Alongside the VP of Contracts, contribute to advancing special projects aimed at improving processes and ensuring efficiency within the contracts team.
- Related duties as assigned.
Qualifications:
- Masters in Business Administration preferred.
- Working Knowledge of GAAP accounting for not-for-profit a plus.
- Over 5 years experience in non-profit sector and interaction with senior/executive staff preferred.
- Ability to exercise sound judgment, discretion, and tact; a collaborative spirit is essential.
- Interpersonal skills are a must, as this position will interact heavily throughout the agency, as well as with numerous government funding agencies.
- Advanced computer skills (MS Office) required.
- Excellent verbal and written communication skills.
- Financial analysis skills required. Strong organizational and presentation abilities are a necessity, with a keen eye for detail.
- Superior time management skills, including the ability to handle multiple, concurrent tasks required.
- Ability to maintain effectiveness under deadlines.
- Experience with non-profit accounting systems, especially Intacct (Sage), a plus.
- Experience working with DHS, DOHMH, HASA, DFTA, HUD, MTA, OMH and other City, State and Federal funding agencies preferred.
