Position Description

This employee will assist the Finance Manager and Director of Budget and Finance in fiduciary matters of the Sheriff’s Office relating to all funds administered by that office as may be assigned.

Work Conditions

Work is in an office setting which requires long periods of sitting. May become stressful due to validity of work and achieving multiple deadlines. May have unexpected change in work hours including hours outside of regular office hours and weekends.

Essential Job Functions

• Debit, credit, and totals accounts on computer spreadsheets and databases, using specialized accounting software.
• Maintains and enters daily deposits into QuickBooks software and keeps financial records on the deposits.
• Processes Bi-Weekly payroll AP checks.
• Maintains and Balances monthly transportation billing for Baldwin County Corrections Center.
• Maintains and Balances monthly food bill for Baldwin County Correction Center
• Maintains and balances inmate financial accounts using the inmate services software program.
• Makes daily bank runs.
• Using computers and computer systems.

Nonessential Functions

• Observing, receiving, and otherwise obtaining information from all relevant sources.
• Performing day-to-day administrative tasks such as maintaining information files and processing paperwork.
• Willing to travel for the purpose of professional development
• Willing to work overtime and nonstandard hours to meet deadlines
• Performs other duties as assigned.

Education and Experience

• Required: High school diploma or GED; Must have a valid, current driver’s license; Must be insurable
• Preferred: Accounts Payable and Accounts Receivable experience; QuickBooks software experience; Proficient with Microsoft Excel

Knowledge, Skills and Abilities

• Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology.
• Knowledge of arithmetic and algebra.
• Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar, arithmetic and modern office practices and procedures.
• Knowledge of principles and processes for providing service to the public, including needs assessment and satisfactory response to meet their needs.
• Math skills to perform basic accounting and bookkeeping operations.

• Skill in the use of a variety of computer programs, to include operation of Microsoft Office (Excel, Outlook, and PowerPoint) and various other office equipment including phones, faxes, scanners, printers, and copiers
