Job Summary
The Benefits and HRMS Specialist position serves as a point of contact for all HRMS and benefits processes in the HR Department. Specifically, this position responds to all HR Team Members, employee and vendor HRMS requests and benefits-related questions. This position supports a variety of HRMS and benefits-specific projects such as annual open enrollment, ACA Reporting, online performance reviews and the annual merit process.
Duties and Responsibilities
HRMS
Perform analysis of existing business processes and system design to identify issues around processes and systems and make necessary changes or consider alternative options, to ensure smooth delivery of HR operations
Lead continuous improvement efforts on HR systems processes and identify opportunities that educate and create employee engagement with various systems
Assists with HRMS related projects as well as configuration, business rules, and the adoption of system upgrades and enhancements.
Assists with the administration of security roles, user names and passwords, system lock and reset and other user inquiries.
Works with the TPA to complete Open Enrollment system re-configuration; updates and audits files for new plan year.
Designs, develops, tests and delivers reports based on customer specifications; maintains and organizes report requests and documentation for all data residing in the HRMS system. Also, reviews, updates and maintains all reporting needed for HR compliance such as EEO1, FCC, OFCCP, and AAP.
Creates basic audit reports to ensure HRMS data integrity; audits and analyzes data, and notifies appropriate individuals of issues.
Assists HR Team Members, employees and Managers in basic HRMS processes, procedures and services
Assist in maintaining the company Intranet HR and Benefits site pages.
Benefits
Position to be cross trained and serve as back up to the Benefit Analyst with 401k administration, monthly benefits premium billing, direct bill processing, funding and claims reconciliation, and other responsibilities of the Benefit Analyst.
Assist the benefits analyst with annual ACA reporting, 401k annual audits, and other benefit related reporting and analysis needed.
Assists employees with claims resolution by acting as a liaison between employees and benefit carriers
Work with the benefits analyst to support the west region in disability administration. This includes maintaining the Benefits mailbox, track all cases, ensure proper adjustments, payments, RTW processing, Direct Bill processing, etc. This includes all leaves: STD, LTD, FMLA, Intermittent FMLA, Workers Comp, and all unpaid leaves.
Participates in short- and long-term objectives and strategies regarding health and welfare plans and programs

Requirements/Qualifications –
Education:
Associates or Bachelor’s Degree in Human Resources or related or equivalent work experience required.
Experience:
1-2+ years’ of HRMS experience of moderate to advanced complexity required; previous UltiPro/UKG experience highly desired.
1-2 years of benefit administration experience required.
Knowledge, Skills and Abilities:
Highly proficient in MS Excel
Experience with SharePoint preferred.
Superior organizational skills as well as ability to prioritize and meet deadlines
Strong analytical, problem solving, project management, and change management skills
Experience working with confidential information and critical business operations and processes
Strong attention to detail, including the ability to manage large quantities of data
Excellent interpersonal skills and able to collaborate with multiple team members across the organization and across regions
