Office Manager/Administrator
Air Products is searching for an organized and self-motivated office manager who will be responsible for providing administrative leadership to team of administrators and support overall office personnel. The office administrator’s role will include working closely with leadership team handling clerical duties, office communication, coordinating operational needs and arrange for meetings, conferences and townhalls.
To be successful in this position the candidate needs to be detail-oriented, professional and have excellent written and verbal communication skills.
Responsibilities:
Position will supervise other administrative personnel.
Establish work processes, guidelines, and methods across all departments working with assigned staff.
Work with leadership team to identify administration needs, procure qualified resources and ensure proper on boarding process including ongoing mentoring is conducted.
Arrange for accommodations and support visiting corporate leadership and other including providing office and conference room support.
Perform bookkeeping tasks for the office such as issuance of purchase orders, review service invoices, monitoring service accounts and budget tracking of office supplies, furniture, and office equipment.
Maintain office furnishings, structure, and office equipment by managing maintenance requests and repair work orders.
Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including email notices, office correspondence, memos, and presentations.
Coordinate and managing appointments, meetings, and conference room schedules. Work with admin staff to ensure offices and other spaces are reserved for staff and visitors.
Providing support with video conferencing equipment and set-up.
Travel Management: Organize global and sometimes complex, travel arrangements including flights, hotels, transfers. Organize visa and passport applications to meet relevant travel deadlines.
Communicate with audiences around the globe including executive leaders, management, peers.
Requirements:
Multi-tasking and time-management skills, with the ability to prioritize tasks.
Must demonstrate calm professional attitude = and excellent interpersonal skills.
Minimum of 5-7+ years’ experience in a senior level administration role.
Associate degree required; Bachelor’s degree preferred.
Exceptional written and oral communication skills.
Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Access).
Comfortable handling confidential information.
Strong relationship management skills with peers, colleagues, and management.
Positive, high-energy individual.
Exceptional organizational skills, including the ability to prioritize workload and multi-task while maintaining attention to detail and seeing tasks and projects through completion.
Proactive; Flexible with unexpected and challenging changes; ability to work under pressure and to tight deadlines. Previous experience working with highly confidential and sensitive information required. Discrete and professional. Upholds the highest ethical standards.
General Administration: provides overall administrative support including preparation of monthly expense reports; review expenses for executive’s direct reports for adherence to company policy.
