Position Description
The Accounting Specialist is responsible for managing and overseeing the entire revenue and invoicing process, ensuring accurate and timely invoicing to customers. This role requires a strong attention to detail and a deep understanding of finance, billing, and accounting principles. The position reports to the Director, Finance and Administration and will work closely with the development team.
Key Responsibilities:
· Generate all invoices for annual partnerships, program sponsorships, and advertising invoices. Work with the development team to gather all relevant information including contacts, billing amounts, discounts, and descriptions. Prepare annual partnership letters to accompany invoice.
· Review invoice details, verifying that all information is correct and aligns with contracts and other supporting documents.
· Email all invoices and supporting documents to customers in a timely manner. If required by customer, submit invoice through customer portal.
· Serve as the primary point of contact for billing inquiries from both internal and external stakeholders, responding promptly and professionally to any questions or concerns related to invoices, ensuring customer satisfaction and maintaining strong relationships.
· Maintain accurate and organized records of all invoices issued and processed.
· Report and reconcile program revenue with development team to ensure all invoices have been issued and properly recorded.
· Coordinate with customers to ensure POs are issued timely and re-issue updated invoices as required.
· Initiate collections on past-due account, collaborating with development team as needed.
· Prepare reports detailing account receivable status.
Other
· Maintain accurate customer records, including special billing requirements.
· Assist with other accounting and finance functions including accounts payable as needed.
· Other duties as assigned.
Required Education / Qualifications:
· High school diploma or equivalent required; associate or bachelor’s degree in accounting or a related field is preferred.
· 5+ years of accounting experience, preferably invoicing and collections.
· Strong understanding of accounting and financial principles and practices, such as revenue recognition, accruals, and billing cycles.
· Experience with QuickBooks, Excel, Bill.com, and Expensify preferred.
· Ability to exercise independent decision-making and handle complex, confidential issues, in a fast-paced changing environment.
